The Hearing and Speech Clinic within the Department of Hearing and Speech Sciences (HESP) in the College of Behavioral and Social Sciences at the University of Maryland provides comprehensive diagnostic and therapeutic services for individuals with speech, language, and hearing disorders. The clinic serves as both a community service provider and an academic training facility, supporting the department's mission to deliver state-of-the-art teaching, research, and clinical services in audiology and speech-language pathology.

Reporting to the Director of Administrative Services, the Clinic Coordinator is responsible for the daily coordination and administration of clinic operations, ensuring efficient and effective service delivery for patients/clients and clinical faculty and staff. This role serves as a key liaison between patients, clients, clinicians, and administrative personnel, supporting the clinic's mission through administrative oversight, process improvement, and client service.

Minimum Qualifications

EDUCATION: High School Diploma or GED.

EXPERIENCE: Five years performing a full range of clerical support services to include one year coordination work and one year in a medical setting. Comprehensive knowledge of the theory, principles, techniques and practices of the specialty are required.

OTHER: Certifications and/or licensure may be required based on the specialty.

REQUIRED KNOWLEDGE/SKILLS/ABILITIES:

Thorough knowledge of basic medical terminology and related clinical practices and protocols. Ability to perform basic mathematical computations. Ability to establish and maintain effective working relationships with faculty, students, staff, and clients. Ability to communicate effectively orally and in writing. Ability to use computers and other standard office equipment. General knowledge of and ability to comply with confidentiality of records and communications regarding patients/clients. Ability to prepare reports and maintain records.

OTHER:

Except for qualifications established by law, additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.

CONDITIONS OF EMPLOYMENT:

Employees in this job class must be CPR certified within the first twelve months of employment. Candidates selected for employment may be subjected to medical inquiries and/or medical examinations to determine ability to perform the job. Overtime, weekend, on-call and shift work may be required in some positions.

Additional Job Details

Essential Duties and Responsibilities:

1. Clinic Operations and Policy Implementation 25%

Participate in all facets of clinic operations, including managing deposits, answering phone calls, processing credit card payments, and responding to departmental emails. Identify areas of concern within clinic policies and procedures and collaborate with management to develop and implement solutions that enhance efficiency and ensure compliance with industry standards and regulations.

2. Scheduling and Patient/Client Services Coordination 25%

Coordinates patient appointments, treatments, evaluations, and testing. Responds to client inquiries regarding clinic services via in person and/or email. Requesting client and patient medical records as needed.

3. Billing, Insurance, and Financial Assistance Management 25%

Processes billing and insurance charges, including pre-authorization, verification and third-party reimbursement. Assists in resolving billing issues, including insurance appeals for denied authorization/claims, and manages accounts receivables. Invoices patients and creates superbills for clients and payment agreements. Monitors delinquent accounts and refers these for collections using UM WD invoicing system.

4. Graduate Students and Orientation 15%

Supervises clinic GA's and FWS students as needed and coordinates clinic orientation for incoming clinical graduate students

5. Inventory and Facility Coordination 10%

Maintains inventory of clinic supplies and equipment. Coordinates facility maintenance and equipment repairs to ensure a safe and functional clinical environment.

Preferences:

• Knowledge of medical billing, insurance processing, and clinic operations.
• Strong interpersonal, organizational, and communication skills.
• Proficiency with electronic health record (EHR) systems and Microsoft Office Suite.
