Site Coordinator

1. Recognition, Engagement, and Site Events

• Work with site manager to develop plans, launch and deliver on all recognition, engagement and site events.
  • All scheduling and invitations for events
  • Ordering and setting up of all events related to logistics:
    • execution and delivery, including supplies and catering ordering and setup and breakdown.
  • Volunteer program and support.
  • Conference room and hotel office scheduling, if not self-schedule location.
• Community-Based Engagement (CBE) and Employee Resource Group (ERG) events, including:
  • For enterprise partners, deliver on local activations in partnership with CBE, ERG or Philanthropic team.
  • Managing outreach, ongoing communication, scheduling, and partnership coordination with internal and external stakeholders.
  • Manage event logistics, room setup, vendor coordination, participant communications, and operational requirements.
  • Complete post-event responsibilities, including recap communications, photo collection and uploads, reporting, partner follow-up, and submission of required CARES documentation.

2. Operational Support

• Serve as on-site contact for associates to help guide or support as needed. Examples:
  • Who to contact for HR needs
  • Help with printers, conference rooms, supplies and more

3. Visitor Experience

• Ensure the site visitor experience is consistent and a white-glove experience by proactively preparing for leaders, partners, and guests coming to the location.
• Ensure timely welcome emails are sent to visitors with key details such as date, arrival expectations, site contact, parking or access information, and any preparation needed.
• Ensure visitors have appropriate workspace, meeting space, technology access, and on-site support when needed.

4. Ready, Set, GEICO/GEICO 101:

• Support the site onboarding experience for Ready, Set, GEICO, ensuring the two-day introduction is timely, organized, professional, and aligned to expectations.
• Partner with Operations, Training, Recruiting, Licensing, and site leaders to ensure new associates are welcomed, informed, prepared, and connected to the GEICO family.
• Setup of room, invitation deliver, and catering support.

5. Additional Responsibilities

• Maintain budget/expenses
• Administrative duties: email, slack, support.
