Judicial Support Specialist 1 - Domestic Violence Division (County Funded)

Salary is Non-Negotiable. The successful candidate will be hired at the minimum salary. The essential function of the Judicial Support Specialist 1 position within the Domestic Violence Division is to provide clerical aid and support to the judges, court staff and visitors to the court in the conduct of official court hearings. This position involves public contact and is responsible for a variety of duties in connection with official proceedings conducted in courtrooms, chambers or virtually, such as managing calendars, coordinating with parties arriving for court hearings, making and providing copies of court orders, and other court hearing related matters. This position works with all the Judges in the Domestic Violence Division at the Lawson E. Thomas Courthouse Center. Provides daily clerical support and coverage for all 8 Judges and judicial staff, includes bringing materials or orders needed during court proceedings. Assists with the management of civil compliance, civil contempt and criminal contempt calendars, by following up with respondents on compliance with the Order of Referral to the Advocate Program. Sends additional paperwork as needed. Runs all respondents’ background check for the civil compliance, civil contempt and criminal contempt to verify if they are in custody–if in custody, will inform Administrative Assistant to reset case. When needed, provides coverage of all Court Specialist responsibilities to ensure the smooth operation of court proceedings and completes any additional duties, such as ensures that courtrooms, chambers, and jury rooms are ready for use; ensures that all parties and support personnel are in attendance; announces Judge and calls court to order. Diligently monitors respondents’ adherence to submitting the Firearms Affidavit. In cases of non-compliance, promptly notifies case managers, advises them to initiate the preparation of the request Rule to Show Cause and schedules the Respondent on the Civil Contempt Calendar. Assists with the Division’s Drug Court and Mental Health Court, includes escorting defendants and respondents to testing area and ensures paperwork is returned to the Judge. Acts as a point of contact on the testing floor with the court specialist. Checks in litigants in person and via Zoom and keeps the parties in the waiting room or a designated area until the case is called. Updates case manager, clerk, and Judge as to arrival of litigants, attorneys, witnesses, and Guardian Ad Litems (GALS). Assists the clerks and case managers in facilitating the flow of the calendar. Calls witnesses into court to testify and ensures that they remain outside of court hearings of during trials. Takes witnesses to the stand. Ensures that witnesses do not remain in the courtroom during hearings at which they are to testify. Provides information, answers questions and assists in problem solving issues for judges, attorneys, court staff and the public. Distributes Firearm Affidavits to all respondents at in-person Permanent Injunction hearings and ensures that each Respondent completes the affidavit. Assists with preparation for division meetings and training. Performs a variety of administrative duties and activities as needed. High school diploma or GED. One (1) year of experience in customer service or working with the public. Experience working in an administrative capacity. Knowledge, Skills and Abilities (KSAs): Knowledge of modern office practices, procedures, equipment, and systems. Knowledge of business English, spelling, punctuation, and arithmetic. Knowledge of personal computer applications such as Microsoft Word, Excel, Outlook and other relevant applicants. Ability to organize work, establish priorities, and multitask to manage high volumes of requests and assignments efficiently. Ability to perform tasks with attention to detail and accuracy, including documentation and reporting. Ability to use independent judgement and discretion concerning confidential and sensitive information. Ability to establish and maintain professional relationship with judges and judicial staff, employees of the court system, clerk of courts, corrections, and law enforcement. Ability to address jurors, witnesses, attorneys and the general public with necessary tact and courtesy. Knowledge of established procedures for conducting judicial proceedings in courtroom and chambers. Ability to remain alert and observant with attention to necessary detail during court sessions. Ability to react quickly in following judge's directives and in emergencies. Willingness to follow requirements of official conduct as a representative of the court.
