Luxury Travel Assistant

About the Role A high-end luxury travel advisory business is looking for a creative, highly organized, and detail-oriented Travel Virtual Assistant / Social Media Coordinator to support travel planning, itinerary management, supplier communication, and social media coordination. This role is ideal for someone with experience in travel, hospitality, or luxury service who understands detailed itineraries, time-sensitive client needs, and high-touch communication. The position will start at approximately 20 hours per week, with the potential to scale hours up during peak travel seasons such as summer and holidays. Key Responsibilities Build and manage detailed luxury travel itineraries using Axus, ensuring all traveler details, bookings, confirmations, and special requests are accurate. Research global travel destinations, hotels, resorts, villas, activities, dining options, tours, and local experiences based on client preferences and travel styles. Communicate professionally with clients, hotels, DMCs, and other suppliers through email, Slack, and messaging tools. Book and manage travel services, including hotels, car transportation, dining reservations, and concierge requests. Track bookings, payments, commissions, missing commissions, refunds, adjustments, and post-trip follow-ups using TripSuite. Maintain organized records, spreadsheets, documents, task trackers, and client status updates in Google Drive. Create and support engaging, on-brand social media content showcasing destinations, hotels, experiences, and client trips. Assist with welcome emails, confirmations, follow-ups, itinerary revisions, and other time-sensitive travel-related requests. Support invoicing, statements, and basic commission reconciliation as needed. Help with minor website edits using Squarespace and provide light administrative or operational support when required. Requirements Minimum of 2 years of experience in travel, hospitality, luxury service, or a related service-based industry. Strong understanding of luxury travel planning, client service, supplier coordination, and detailed itinerary management. Excellent written English communication skills. Highly organized, detail-oriented, proactive, and comfortable managing time-sensitive tasks. Ability to research destinations, accommodations, activities, visa requirements, entry regulations, seasonal factors, and travel logistics. Experience with or ability to quickly learn Axus, TripSuite, Virtuoso booking portals, Google Docs, Google Sheets, and Slack. Comfortable working remotely and independently with minimal supervision. Ability to manage high-touch client communication and maintain a professional tone at all times. Nice to Have Experience working as a virtual assistant or in a remote support role. Experience supporting entrepreneurs, solo advisors, or small service-based businesses. Basic accounting or bookkeeping experience related to commissions, statements, or reconciliation. Familiarity with Squarespace for minor website edits. Experience creating social media content for travel, hospitality, luxury lifestyle, or service-based brands.
