Overview

Benefit Coordinators work collaboratively across the referral?to?shipment lifecycle to advance patient orders accurately, in compliance, and on schedule. Order Intake establishes the patient record and routes incoming documentation to the appropriate teams. Benefit Coordinators validate patient and payer information, calculate benefits, and complete pre?shipment verifications.

Key responsibilities include processing incoming referrals and documentation, verifying patient insurance benefits, maintaining payer and regulatory compliance, outbound clinic and payer calls, and partnering with internal teams to ensure orders move efficiently toward fulfillment.

Responsibilities

• Verify patient insurance eligibility and benefits using payer portals, phone calls, and internal systems.
• Document benefit details clearly and accurately in the patient database.
• Identify coverage limitations, potential reimbursement challenges, or authorization requirements.
• Support prior authorization workflows by providing accurate benefit information to internal teams.
• Re?verify benefits as needed and investigate complex payer scenarios.
• Participate in cross-training across Order Intake and VOB functions to support workload balancing and team flexibility.
• Maintain full compliance with HIPAA and internal documentation standards.
• Contribute to process improvement, documentation standardization, and efficiency initiatives.
• Attend required team meetings, 1:1s, training sessions, and company forums.
• Support overtime, task reassignment, or cross departmental assistance as business needs evolve.
• Maintain accurate records, follow defined workflows, and escalate issues appropriately.

Qualifications

Required

• 1+ years’ experience in a medical field or customer service type role.
• Associate degree or equivalent work experience.
• Strong attention to detail, ability to maintain accuracy, and comfort managing high volume tasks.
• Ability to adapt quickly to changing protocols and workflows.
• Strong verbal and written communication skills.
• Ability to multitask, prioritize, and work collaboratively in a fast?paced environment.

Preferred

• 2+ years of data entry, insurance verification, or healthcare administrative experience.
• Experience with Filemaker or similar database systems.
• Experience using payer portals (e.g., Availity, NaviNet) or related technology.
• Knowledge of medical terminology or durable medical equipment (DME) benefits.
• Proficiency with Microsoft Word, Excel, Teams, and Outlook.
