HR Administrative Assistant

Summary: The Human Resources Administrative Assistant will perform administrative tasks and services to support effective and efficient operations of the organizations Human Resources Department.Reports to: HR Manager/Chief People OfficerSupervises: N/ADress Requirement: Business Casual in accordance to Heart of Ohio Family Health’s dress code policyWork Schedule:Monday through Friday standard business hours40 hours per week, times are subject to change based on staffing needs.Non-ExemptJob Qualifications (Knowledge, Skills, and Abilities)Provides administrative support for HR departmentMaintains accurate and up-to-date human resource files, records, and documentationResponds to routine inquiries from applicants and employees and routes more complex questions to appropriate senior-level HR staffMaintains the integrity and confidentiality of human resource files and recordsEnsures that all required documents are collected and filed appropriatelyManage and update HR databases with different information such as new hires, terminations and warnings etc.Maintain schedule and coordinate calendar activitiesAssist in posting job ads on career pages and processing received resumesAssists with planning and execution of special events such as benefits enrollment, organization-wide meetings, employee recognition events, holiday parties, and retirement celebrations.This job description is not designed to cover or contain a comprehensive listing of activities, duties or responsibilities that are required of the employee. All facilities have a medical office environment with front-desk reception area, separate patient examination rooms, nursing stations, pharmacy stock room, business offices, hallways and private toilet facilities. All facilities are ADA compliant.The office area is:kept at a normal working temperaturesanitized dailymaintains standard office environment furniture with adjustable chairsmaintains standard office equipment; i.e., computer, copier, fax machine, etc. at a normal working heightPhysical Demands and Requirements: these may be modified to accurately perform the essential functions of the position:Mobility = ability to easily move without assistanceBending = occasional bending from the waist and kneesReaching = occasional reaching no higher-than-normal arm stretchLifting/Carry = ability to lift and carry a normal stack of documents and/or filesPushing/Pulling = ability to push or pull a normal office environmentDexterity = ability to handle and/or grasp, use a keyboard, calculator, and other office equipment accurately and quicklyHearing = ability to accurately hear and react to the normal tone of a person’s voiceVisual = ability to safely and accurately see and react to factors and objects in a normal settingSpeaking = ability to pronounce words clearly to be understood by another individualRequired Skills/AbilitiesExcellent communications and interpersonal skillsAbility to manage sensitive and confidential situations with tact, professionalism, and diplomacyExcellent organizational and time-management skillsAct as a reliable team memberAbility to effectively use computer software including Microsoft Outlook, Word, Excel. And HR softwareData-driven mindsetFamiliarity with Labor LawsSupports the HOFH’s mission and vision statements holding self and others accountable and role modeling excellence for all to see.
