This role is responsible for providing exceptional customer service while performing a range of administrative, clerical, and data entry duties, including patient intake, insurance verification, and appointment scheduling. The Coordinator ensures smooth front-desk operations and supports the clinical team in delivering high-quality, patient-centered care./ph3Essential Duties Responsibilities/h3pAdministrative Responsibilities/pulliPatient Intake and Onboarding/liliCreate new patient profiles in the EMR system./liliConduct welcome calls and schedule initial appointments./liliMail welcome packages to new patients./liliObtain required annual consents and patient signatures./liliEncourage and assist patients with Patient Portal enrollment./liliCoordinate translation services as needed (e.g., Propia app)./li/ulpScheduling and Visit Management/pulliGreet patients and visitors warmly, creating a welcoming and professional environment/liliAddress patients concerns or complaints and escalate issues appropriately/liliSchedule a variety of appointments (e.g., TOC, AWVs, sick visits, in-house services)./liliMaster scheduling workflows, including same-day visit protocols./liliFollow all scheduling guidelines; act as the Pit Boss of the schedule./liliObtain Health Center Manager approval for scheduling exceptions (e.g., double-booking)./liliAssist with appointment confirmation calls and transportation scheduling./liliReschedule all no-shows within 24 hours./liliUpdate visit status types in the EMR (eCW) promptly./liliSupport scheduling for special events (e.g., mammogram and DRE campaigns)./li/ulpData Accuracy System Proficiency/pulliPerform demographic verification during patient check-in./liliEnsure accurate entry of demographics, insurance, and Patient Hub information./liliScan and file all documents and ID photos correctly./lilieFile documents within 48 hours of receipt./liliMonitor fax inbox for incoming clinical documents./liliClear Jellybean inboxes daily./li/ulpInsurance and Financial Transactions/pulliDocument insurance verification results in the EMR./liliCollect co-payments and coinsurance in accordance with policy./liliRun and reconcile end-of-day financial reports./li/ulpOutbound Communications and Follow-up/pulliMake outbound calls to support care initiatives (e.g., AWVs, HEDIS screenings)./liliFollow up with patients within 37 days post-discharge to confirm TOC appointments./liliConfirm follow-up appointments and ensure referral coordination at check-out./li/ulpPhone Operations/pulliAnswer and route incoming calls appropriately./liliTake messages, assist callers, and properly document/disposition each call./liliRespond to inquiries in person, over the phone and via email with professionalism and accuracy/li/ulpAdditional Duties Responsibilities/pulliSupports operations, patient/client experience, and communication at the center level./liliKeep the front desk, lobby and patient facing areas clean, organized and well stocked Monitor and request office supplies as necessary/liliComplete other duties at the discretion of management, or Perform all other duties assigned by supervisor or manager./li/ulpEducation Experience/pulliHigh School Diploma or equivalent required./liliMinimum of one (1) year experience in a healthcare or medical office setting./liliKnowledge of medical insurance, Medicaid/Medicare, and EMR systems preferred./liliBLS Certification, be able to respond to medical emergencies (Preferred)/liliTraining in gait support, proper lifting techniques, and ADA compliance./liliMicrosoft Office Suite: Power BI, Excel, Word, Teams, PowerPoint./li/ulpEducation Requirements/ppRequired/Preferred/ppEducation Level/ppDiscipline/ppRequired/ppHigh School Diploma/ppKnowledge, Skills Proficiencies/pulliMicrosoft Office Suite: Power BI, Excel, Word, Teams, PowerPoint./liliStrong communication and customer service skills./liliDetail-oriented with a commitment to data accuracy./liliAbility to multitask in a fast-paced clinical environment./liliTechnical proficiency in all required systems and software tools./liliElectronic Medical Records (EMR) system (e.g., eCW) Superuser level./liliCall Center Communications system - (Ring Central)/liliTransportation scheduling software (e.g., TripMaster)./liliOracle (Expenses)./liliHealth Plan, Specialist, and Diagnostic Center Portals./liliHR platform (e.g., Workday)./liliAvaility and other insurance/eligibility portals./liliAlarm and security monitoring systems./liliBilingual (English and Spanish) preferred./liliCano.Net ticketing system./li/ulpIncentive/ppThis position is eligible to receive a performance bonus each calendar year based upon the Companys achievement of certain financial targets and the achievement of metrics relevant to your position./ppBenefits/ppAt Cano Health, we are convinced that our success comes from our amazing team of associates.
