HIGH-VOLUME AUTOMOTIVE SERVICE DEPARTMENT

C. Harper Chevrolet / Cadillac is looking for an experienced, highly organized Automotive Shop Dispatcher to manage the daily workflow of our high-volume Service Department in Belle Vernon.

The Shop Dispatcher is the traffic controller of the entire service operation .

You're responsible for getting the right job to the right technician at the right time - while balancing technician productivity, customer deadlines, warranty requirements, shop capacity, customer satisfaction and dealership profitability.

If you understand technician efficiency, hours turned, labor gross, workflow and how a busy dealership service department actually operates , we want to talk with you.

• Total shop hours turned

• Manufacturer customer-satisfaction scores

• Overall gross-profit percentage

WHAT YOU'LL DO

• Dispatch repair orders to technicians

• Match jobs with technician training and certification levels

• Match repairs with technician skill sets

• Monitor technician workload and availability

• Maintain fair and consistent work distribution

• Help ensure technicians have opportunities to produce hours

• Keep technicians supplied with productive work

• Monitor technician efficiency and productivity

• Track shop hours and workflow

• Consider labor gross profit when assigning work

• Assign the right technician to the right repair

• Monitor work after it has been dispatched

• Identify stalled repairs

• Follow through until assigned work is completed

• Adjust shop priorities throughout the day

• Accommodate same-day appointments

• Handle waiter priorities

• Coordinate tow-in vehicles

• Manage unexpected repair situations

• Help maintain smooth vehicle flow throughout the department

PRE-WRITES & SERVICE OPPORTUNITIES

You'll assist Service Advisors by completing pre-writes and reviewing:

• Vehicle service history

• Manufacturer maintenance requirements

• Previous recommendations

• Previously declined services

• Open maintenance opportunities

• Upcoming vehicle needs

The objective is straightforward:

Identify legitimate service opportunities before the customer arrives.

That helps Advisors prepare.

It helps customers maintain their vehicles.

And it helps keep technicians productive.

PDI & NEW-VEHICLE COORDINATION

You'll also help coordinate the dealership's Pre-Delivery Inspection process.

Responsibilities include:

• Coordinating movement of new vehicles

• Opening PDI repair orders

• Assigning PDI work

• Monitoring PDI completion

• Final-closing PDI repair orders

• Ensuring new vehicles move through the process efficiently

• Coordinating with Sales, Service and technicians when priorities change

WARRANTY DOCUMENTATION

Accurate warranty documentation matters.

You'll work directly with technicians to identify and correct documentation issues before they become bigger problems.

That includes helping ensure:

• Repair documentation is complete

• Technician stories are accurate

• Required information is documented

• Warranty repair orders meet manufacturer requirements

• Corrections are completed promptly

YOU'LL WORK WITH THE ENTIRE DEALERSHIP.

The Dispatcher sits at the center of Fixed Operations.

You'll communicate daily with:

• Service Advisors

• Automotive Technicians

• Parts Department

• Warranty Department

• Service Management

• Sales Department

• Dealership Management

Strong communication isn't optional.

It's one of the most important parts of the position.

WHO WE'RE LOOKING FOR

• Automotive dealership experience strongly preferred

• Previous Shop Dispatcher experience is a major plus

• Service Advisor experience is a plus

• Automotive Technician experience is a plus

• Warranty experience is a plus

• Assistant Service Manager or shop-management experience is a plus

• Strong understanding of technician productivity

• Understanding of technician efficiency

• Understanding of flat-rate shop operations

• Understanding of hours turned

• Understanding of labor gross profit

• Understanding of warranty documentation

• Strong organizational abilities

• Excellent communication skills

• Excellent time-management skills

• Ability to manage multiple priorities simultaneously

• Strong sense of fairness and integrity

• Ability to hold people accountable professionally

• Positive, team-first attitude

• Ability to remain calm when priorities change

• Ability to make decisions quickly

• Ability to solve problems without creating unnecessary drama

• CDK DMS experience preferred
