Manager, Accounts Receivable

Position Summary The manager is primarily responsible for the collection of receivable balances, for Global Private Equity and Global Credit, and supports other segments. Billing and Accounts Receivable transactions are primarily comprised of recoverable expenses and fees. The manager must have a solid understanding of the underlying transactions and their impact on the firm and stakeholders, apply professional judgement and deliver stellar customer service. The manager also must be familiar with and enforce all relevant agreement terms, policies, and controls.

This position requires a strong aptitude in information systems and data processing as information must be processed quickly and accurately. Most responsibilities will involve Excel and PeopleSoft, more specifically the project costing module. In-Office Requirement: 4 days per week Primary Responsibilities Daily and Monthly Activities Planning, delegating, monitoring, and managing team deliverables Oversee planning sessions with team members to establish upcoming deadlines Ensure all tasks are delegated to the appropriate resources and resources are used to their fullest capabilities and capacity Monitor progress of activities against deadlines to ensure deadlines are met Regularly report on the status of deliverables and proactively elevate delays and bottlenecks to manager and VP.Be prepared to propose a corrective solution to any bottlenecks that arise. Monitor team activities to ensure adherence to firm policies, SOX controls, partnership agreements, service agreements (i.e. monitoring agreements) and any other applicable controls or agreements. Overseeing the billing and collection process Review monthly and quarterly reports and ad-hoc requests Manage, review, and approve the billing of all fees, including management fees, portfolio fees, transaction fees, and funding fees, and ensure adherence to applicable agreements and invoices are issued timely. Enforce adherence to applicable policies and agreements. Ensure accuracy in honouring the legal entity structure and any necessary cost sharing arrangements. Perform analytical tasks, such as reviewing various reports and entries for miscoding and work with team to make necessary corrections. Ensure timely cash application and refund for AR payments made to firm Lead and oversee monthly collection efforts to ensure all material and aged balances are proactively monitored, escalated, and resolved in a timely manner. Partner with stakeholders to assess the collectability of receivables and determine when reserves or write-offs are appropriate, ensuring timely and accurate accounting treatment. Own and manage Days Sales Outstanding (DSO) and working capital performance by monitoring key AR metrics, driving timely billing and collections, enforcing policies around collection, identifying collection trends and bottlenecks, implementing strategies to reduce outstanding receivables, and partnering with business stakeholders to improve cash conversion. Overseeing the monthly closing processes Approve certain balance sheet reconciliations and propose adjusting journal entries Ensure documentation of SOX certifications are obtained and maintained on the network Ensure all monthly processes are completed timely, such as finance charges, collections, and cash applications Ensure all reclasses and adjustments are completed, reviewed, and posted by deadline Reviewing analysis and reports Review and approve monthly reports prepared by team, such as the working capital, cash requirements, billing exception and AR aging reports. Prepare any ad hoc analysis and reports Ensuring adherence to firm policies, SOX controls, and applicable contractual agreements Ensure all audit requests are fulfilled by the team in a timely and complete manner, delegating as necessary across the team Act as liaison with the auditors to ensure all questions are answered, which may require discussions around the underlying accounting principles, systems and processes impacting the Billing and AR function Creating efficiencies through process improvement and technology Collaborate with the IT team and ensure all enhancement requests are maintained on the backlog and assist in prioritization discussions Work with the team to identify inefficient processes, system issues/errors, and potential system enhancements. A clear understanding of information systems, processes, controls, and the inter-relatedness of data is extremely helpful in producing creative solutions, and persistence and perseverance is necessary to see these ideas actualized. Communicate ideas to the AVP if additional support is required. Change management as the need arises In this fast-paced environment, needs are consistently changing. This role must help to execute and enforce such changes. Often this includes widely distributing communication, holding training and/or informational sessions, responding to questions and enforcing new processes. Managing ad hoc requests and inquiries from internal and external stakeholders Requires regular cross-functional communication and collaboration primarily with Corporate Accounting, Executive Assistants, Fund Management, Partnership Accounting, and foreign offices Overseeing internal and external audit requests and walkthroughs Special Projects Manage ad hoc reporting requests, which usually come from Fund Management, Partnership Accounting, Corporate Accounting, and external parties (i.e., investor requests) Lead efforts to address and resolve issues that require significant research and collaboration with various teams Other Functions Lead goal setting sessions with senior accountants, provide regular mentoring and feedback Manage inter and intra departmental training materials and facilitate training of new and existing employees on policies and processes Manage processes, procedures, and training materials to mentor/coach senior accountants Requirements Education & Certificates Bachelor’s Degree in Business/Accounting/Finance or equivalent work experience, required Professional Experience Educational background in accounting or a related field 4+ years of accounting experience in accounting roles with a solid knowledge of GAAP impacting the Billing and AR function Knowledge of private equity industry, preferred Experience with global operations Experience leading others on routine activities, as well as coaching, mentoring, and providing feedback Ability to interpret agreements, including but not limited to service agreements and partnership agreements Solid knowledge of Microsoft Excel, functional knowledge of Microsoft Word and Outlook, and solid understanding of accounting information systems (project costing a plus) PeopleSoft experience preferred Competencies & Attributes Ability to adapt to a fast-changing environment and to solve complex issues Strong problem solving, analytical and communication skills Team oriented with a positive attitude, detailed, efficient, and organized Able to work under pressure and meet reporting deadlines Solid computer and financial systems skills Capable of working independently and in groups Proficiency in accounting and other Carlyle systems (training available) Benefits/Compensation The compensation range for this role is specific to Washington, DC and takes into account a wide range of factors including but not limited to the skill sets required/preferred; prior experience and training; licenses and/or certifications. The anticipated base salary range for this role is $125,000 to $135,000. In addition to the base salary, the hired professional will enjoy a comprehensive benefits package spanning retirement benefits, health insurance, life insurance and disability, paid time off, paid holidays, family planning benefits and various wellness programs.
