At Apex, you don’t just join a company—you help shape what comes next. Position We are currently seeking to add a full-time Marketing & Proposal Coordinator to our team. This position is hybrid, with most work performed remotely and occasional in-person duties. Candidates located near the Greater Boston area who can travel to Woburn, Massachusetts, as needed will be considered. Responsibilities Work alongside the Woburn-based Marketing Manager and Sr. Marketing Coordinator in pursuit of new work, with emphasis on projects in the northeastern United States. Assist with retrieval and tracking of requests for proposals/qualifications and help with go/no-go discussions. Support proposal plan preparation and drive proposal kickoff discussions. Contribute to compelling firm qualifications, proposals, and presentation materials, including layout, writing, and coordination. Assist with writing, cataloging, and updating of project materials (profiles, team resumes, client references). Produce hard-copy proposal documents as needed from the Woburn, MA office. Occasionally travel to client locations to deliver proposals. Support special events and trade shows, as needed. Perform quality checks on marketing materials, including proofreading, aesthetics, and compliance reviews. Update the client relationship management (CRM) system and related databases. Fulfill other marketing tasks as needed. Qualifications Degree, certification, or equivalent experience in communications, marketing, business, English, journalism, or a related field. Minimum 3–5 years of experience as a marketer, preferably in the architecture, engineering, and construction (AEC) industry. Proficiency in Adobe InDesign and Microsoft Office. Proposal experience required. Excellent prioritization and time management skills. Strong organizational skills, attention to detail, and ability to multitask in a fast-paced, deadline-driven environment. Excellent writing and copy editing capabilities. Strong communications skills and the ability to adapt to different communication styles. Highly motivated, eager to contribute to Apex marketing efforts. Ability to travel to the Apex office in Woburn, MA, for proposal production and to client locations for proposal delivery; willingness to travel between offices for related tasks as needed.
