Intake Specialist

Clayton law firm is looking to hire an Intake Specialist. We are seeking a personable, organized, and detail-oriented Intake Specialist to join our law firm. As an Intake Specialist, you will often be the first person with whom a prospective client speaks when contacting our office. Your ability to provide a welcoming, professional, and compassionate experience will play an important role in shaping their first impression of our Firm. What You'll Do Serve as an initial point of contact for prospective clients through telephone calls, email, and online inquiries. Gather and document prospective client information accurately and efficiently. Initiate the Firm's established conflict-of-interest review process and coordinate required clearances before scheduling consultations. Coordinate and schedule prospective client consultations with attorneys and legal support staff. Communicate consultation details, fees, and payment procedures to prospective clients. Prepare appointment confirmations and reminders and assist with scheduling changes. Ensure attorneys receive necessary intake information before consultations. Maintain organized records and follow up on pending inquiries to ensure timely communication. Work collaboratively with attorneys, administrative personnel, and management to support an efficient intake process. Assist with additional administrative projects when workload permits. Identify opportunities to improve intake procedures and the prospective client experience. Track and maintain accurate intake metrics, including inquiry volume, consultation-to-retention conversion rates, prospective client follow-up, and reasons for non-conversion. Prepare intake performance reports, identify trends, and communicate opportunities for improving follow-up procedures and client conversion to the Operations Manager. Previous administrative, customer service, or professional office experience preferred. Prior law firm experience is a plus but not required. General computer proficiency, including familiarity with Microsoft Office applications. Ability and willingness to learn firm-specific software and procedures.
