Specialist, Publication Management (Hybrid)

Job Description: The Publication Coordinator will work closely with Publication Managers, agency partners, and internal and external publication stakeholders to support tracking, capturing project updates, reporting, budgets, and communications for Scientific Communications & Information Sciences Department (SCIS) publications and outputs. Responsibilities With minimal supervision, the Publication Coordinator will support the following areas: Meeting and Publication Planning Support Attend monthly publication team meetings to build planning knowledge and assist the Publication Manager with note taking and meeting summaries. Independently and proactively update publication team meeting agendas and follow up with publication team members to obtain updates in advance of meetings. Assist the Publication Manager in developing and maintaining publication planning slide decks. Assist with other publication support requests as needed. Congress Support Assist with congress planning activities, including development and maintenance of presentation trackers, document trafficking, archival of final versions, and QR code processes. Support development of congress compendia for large/major conferences, as assigned. Support development of abstract planning decks and study statement slides for large/major conferences. Travel (up to 10%) to a major conference may be requested to provide onsite support, including poster hanging, etc. Complete ad hoc slide deck requests for publications department, including post-congress metric activity slides. Update slide repository upon completion of congress presentations. This is not an exhaustive list; other congress support tasks may be assigned or required. Publication Review, Tracking, and Reporting Manage document flow to and from internal and external service providers, including joint venture and collaborative partner review, clearance, and independent manuscript review. Track and report internal and external publication projects not led by SCIS, including projects from academic research organizations, cooperative groups, joint ventures, and independent study initiatives. Maintain journal and congress listings to support publication planning, tracking, and reporting. Systems, Site Maintenance, Budget, and Compliance Support Create, maintain, and reconcile Datavision (publication management tool) records, including status updates, document posting, quarterly record maintenance, and reporting through final publication. Support medical communications agency contracting, budget tracking, reference requests, bibliography management, and coordination of study data package or protocol document delivery, as needed. Develop and maintain the publication MS Teams sites/channels for a therapeutic area(s), including management of access requests. Assist with publication compliance-related activities and ensure department-managed documents, repositories, and archives are complete, accurate, and maintained in accordance with established company standards. Communicate clearly and proactively with Publication Managers, agency partners, and internal/external stakeholders to support timely completion of publication activities. Assist with quarterly record maintenance and other requests as needed. Qualifications Education and Experience: BS or BA with at least 1–2 years of professional experience; experience in medical communications, scientific affairs, scientific research, or knowledge management is preferred. Required Experience & Skills: Advanced interpersonal and written communication skills; Excellent project management and organizational skills to manage competing timelines and projects; Ability to work independently, be responsive to stakeholders, and be accountable for quality of deliverables; Proficiency in Microsoft applications; Comfort using AI and AI-enabled tools. Preferred Experience & Skills: Medical/scientific communications agency experience supporting publications is a plus; Publication management software applications experience is a plus. eligibleforERP clinicaltrialjobs. This is the lowest to highest salary we in good faith believe we would pay for this role at the time of this posting. An employee’s position within the salary range will be based on several factors including, but not limited to relevant education, qualifications, certifications, experience, skills, geographic location, government requirements, and business or organizational needs.
