Office Administrator

Location: Missoula, MT

Schedule: Monday-Friday, 9:00 AM-5:00 PM

Pay: $23.00 per hour

Start Date: December

Express Employment Professionals is seeking an organized and customer-focused Office Administrator to support daily office operations for a busy local company. This position plays a key role in managing administrative functions, customer communications, record keeping, and office support.

Job Duties:

• Answer and direct incoming phone calls, take messages, and schedule appointments.

• Contact new leads by phone, email, and text message, and follow up on open estimates.

• Prepare and submit building permit applications and track approval status.

• Register warranties for completed projects and maintain accurate warranty records.

• Organize and maintain job files, contracts, permits, and project documentation.

• Monitor inventory levels and order office supplies as needed.

• Receive customer payments, prepare bank deposits, and process checks.

• Provide administrative support to management, production, and sales teams.

• Assist with accounts payable and payment tracking using QuickBooks.

• Greet customers and visitors while providing professional customer service.

Qualifications:

• Previous administrative, receptionist, or office support experience preferred.

• Experience with QuickBooks is preferred.

• Strong organizational and multitasking abilities.

• Excellent communication and customer service skills.

• Proficiency with computer systems and Microsoft Office.

• Ability to maintain accurate records and work independently.
