Investment Operations Associate

A growing wealth management and investment operations team in Elgin, IL is seeking a highly organized and detail-oriented Investment Operations Associate to support a range of account administration and investment operations functions. Reporting to the Chief Operating Officer, this individual will be responsible for coordinating new account setup, managing account service activity, facilitating asset transfers, and providing day-to-day operational support to advisors and planning teams. This is a hybrid position offering the flexibility of a combination of in-office and remote work. The ideal candidate is client-focused, highly accurate, and comfortable managing multiple priorities in a fast-paced environment while handling sensitive financial information. Prior experience within investment operations, wealth management, brokerage operations, or financial services is strongly preferred. This position offers a salary range of $50,000-$70,000 and a comprehensive and competitive benefits package, including health insurance, generous PTO, and a 401(k) plan. Responsibilities of the Investment Operations Associate: Manage the setup of new investment accounts by collecting, reviewing, and submitting required documentation while ensuring information is complete, accurate, and aligned with applicable regulatory requirements. Coordinate account onboarding activities from initiation through completion, maintaining visibility into outstanding items and communicating timely updates to relevant internal team members. Handle ongoing investment account service needs by preparing and reviewing servicing documents, submitting requests, monitoring their progress, and maintaining thorough records of completed transactions and client interactions. Facilitate the movement of client assets, including ACATs, rollovers, trustee-to-trustee transfers, and other incoming and outgoing transfer requests, ensuring documentation meets custodian requirements. Monitor asset transfers and other operational requests through completion, proactively addressing delays or outstanding items and working with advisors and custodians to support a smooth transition of assets. Provide ongoing operational assistance to financial advisors and planning teams by responding to questions and requests, supporting investment implementation, and serving as a reliable resource for day-to-day operational needs. Contribute to operational initiatives by collaborating with team members on workflow improvements, special projects, and process enhancements while supporting a culture centered on teamwork, accountability, and exceptional client service. Qualifications of the Investment Operations Associate: Demonstrated ability to maintain a high level of accuracy and attention to detail, particularly when working with sensitive client financial information and operational documentation. Strong organizational and time-management capabilities, with the ability to effectively prioritize and manage multiple responsibilities within a deadline-driven environment. Excellent written and verbal communication skills, along with a professional approach to working with clients, advisors, custodians, and internal stakeholders. Ability to work effectively both independently and as part of a collaborative team, with a commitment to supporting shared operational goals and maintaining strong working relationships. Previous experience in investment operations, wealth management operations, financial services, brokerage operations, or within a registered investment advisory environment is preferred.
