Experience: 1–2 years in a related field preferred. Customer service or recreation-related experience preferred. Experience handling cash or point-of-sale transactions is a plus. Familiarity with lake, boating, or outdoor recreation environments is beneficial. Experience in recreation or event planning preferred. Work Schedule: Must be able to work a flexible schedule including evenings, weekends, and holidays. Position Summary The Event Coordinator / Event Specialist is responsible for supporting the planning, coordination, and execution of events from concept through completion. This role oversees event logistics, vendor relationships, staffing coordination, procurement activities, Point-of-Sale (POS) operations, and adherence to standard operating procedures (SOPs). The ideal candidate is highly organized, detail-oriented, customer-focused, and able to thrive in a fast-paced environment while managing multiple priorities. Essential Duties and Responsibilities Event Planning & Operations Coordinate all aspects of events, including setup, execution, and breakdown. Support corporate events, meetings, conferences, trade shows, fundraisers, private events, and special programs. Ensure events are executed according to client expectations, budgets, and timelines. Conduct event site inspections and assist with venue logistics. Monitor event activities and proactively resolve operational issues. Vendor & Supplier Management Coordinate with vendors, caterers, entertainers, rental companies, and service providers. Obtain quotes, compare pricing, and assist with vendor selection. Monitor vendor performance and ensure contractual obligations are met. Maintain positive relationships with vendors and external partners. Staffing Coordination Assist with scheduling and coordinating event staff. Communicate event requirements, assignments, and expectations to team members. Support training and ensure staff adherence to safety and service standards. Serve as a point of contact during events and help address staffing needs. Procurement & Inventory Source and procure event-related supplies, materials, and equipment. Track inventory levels and coordinate replenishment as needed. Maintain accurate records of purchases and expenses. Ensure cost-effective purchasing practices and budget compliance. SOP Compliance Follow and enforce established Standard Operating Procedures (SOPs). Assist in developing and updating event processes and operational documentation. Ensure compliance with company policies, safety requirements, and event standards. POS & Financial Responsibilities Operate and troubleshoot Point-of-Sale (POS) systems during events. Process transactions accurately and securely. Assist with cash handling, reconciliation, and sales reporting. Support revenue tracking and event-related financial documentation. Customer Service Provide exceptional customer service to clients, guests, vendors, and team members. Respond professionally to inquiries, concerns, and special requests. Maintain a positive and professional presence throughout all events. Qualifications Required High school diploma or equivalent. Minimum of 1 year of event coordination, hospitality, catering, retail, or related experience. Strong organizational and time-management skills. Excellent verbal and written communication skills. Ability to manage multiple projects and deadlines simultaneously. Proficiency with Microsoft Office and basic computer applications. Experience working with POS systems or willingness to learn. Ability to work flexible schedules, including evenings, weekends, and holidays. Ability to lift to 25 pounds and remain standing for extended periods during events. Preferred Degree preferred but not required equivalent relevant work experience will be considered. Experience with procurement, inventory management, or vendor negotiations. Familiarity with event management software and reporting systems. Experience developing or following SOPs.
