OPERATIONS COORDINATOR - PROJECTS, INDUSTRIAL, & PRODUCTION SERVICES

HTM Contractors, Inc. is a locally owned company serving customers throughout Oahu. Our family of companies provides tree services, infrastructure work, demolition, excavation, manufacturing, custom projects, waste solutions, and specialty services.

We're looking for a dependable Operations Coordinator - Projects, Industrial, & Production Services to help keep our customers, crews, projects, and operations organized. This role is perfect for someone who enjoys solving problems, communicating with people, staying organized, and ensuring things get done.

You'll be the connection between customers, office staff, sales teams, project managers, and field crews — helping each job move smoothly from the first phone call to completion.

• Full-Time Position
• Monday - Friday (schedule based on operational needs)
• Weekly Pay

  Begins after 4 weeks averaging 20+ hours/week

In this role, you'll help coordinate daily operations and make sure customers and field teams have what they need. Your responsibilities include:

• Answering customer calls and responding to messages
• Helping customers understand services and next steps
• Creating and updating customer accounts, jobs, and work orders
• Scheduling estimates, site visits, crews, equipment, deliveries, and services
• Coordinating schedules between customers, managers, sales teams, and field crews
• Keeping company schedules and calendars accurate
• Updating information in CRM and ERP systems
• Tracking projects, orders, and customer requests from start to finish
• Preparing paperwork, documentation, and job files
• Processing Certificates of Insurance (COIs)
• Collecting job information, photos, documents, and approvals
• Helping ensure completed work is ready for billing
• Communicating schedule changes and important updates
• Supporting office and operations teams as needed

We're looking for someone who is organized, reliable, and enjoys helping people. You should have:

• Previous experience in administration, customer service, scheduling, dispatch, or office support
• Strong communication skills and a professional attitude
• Good attention to detail and organization skills
• Ability to manage multiple tasks and priorities
• Comfort using computers and learning new software
• Experience with CRM, scheduling, or business software is a plus
• Ability to work independently while being part of a team
• A positive attitude and willingness to learn

Experience in construction, service, manufacturing, or operations is helpful — but we're willing to train the right person.
