Executive Administrative Assistant

Position OverviewThe Executive Administrative Assistant to the President provides high-level, confidential administrative and operational support to the President and executive leadership team. This role serves as a strategic partner and trusted gatekeeper, ensuring efficient executive operations, seamless communication, and strong coordination across internal and external stakeholders.This position requires exceptional organizational skills, sound judgment, discretion, executive presence, and the ability to manage multiple priorities in a fast-paced, growth-oriented environment. The ideal candidate is proactive, detail-driven, and experienced in supporting senior executives.Key ResponsibilitiesExecutive SupportProvide direct, high-level administrative support to the PresidentManage complex calendars, scheduling, and priority alignment across internal and external commitmentsCoordinate executive meetings, board meetings, and leadership sessionsPrepare agendas, materials, presentations, and executive briefing documentsScreen and prioritize communications on behalf of the PresidentServe as a primary point of contact for executive mattersMeeting & Board CoordinationCoordinate logistics for executive and board meetings (scheduling, materials, travel, follow-ups)Prepare and organize board books, executive reports, and presentation materialsCapture notes, action items, and decisions from leadership meetingsTrack deliverables and follow-ups across leadership initiativesCommunication & DocumentationDraft and edit executive correspondence, announcements, and leadership communicationsPrepare professional documents, reports, and slide presentationsMaintain executive files, records, and confidential documentationEnsure accuracy, formatting quality, and version control of executive materialsTravel & LogisticsArrange executive travel including flights, hotels, ground transportation, and itinerariesManage executive expense reporting and reimbursement documentationCoordinate executive event logistics and external meetingsOperational CoordinationSupport cross-functional coordination between executive leadership and departmentsTrack strategic initiatives, deadlines, and executive prioritiesAssist with vendor, partner, and stakeholder coordination as directedHelp streamline executive workflows and administrative processesConfidentiality & DiscretionHandle sensitive business, personnel, financial, and legal information with strict confidentialityExercise sound judgment and discretion in all executive mattersMaintain professionalism and executive-level communication standardsRequired Qualifications5+ years experience supporting senior executives or C-suite leadersExperience in executive administrative or executive operations rolesStrong calendar and priority management experienceAdvanced proficiency with Google Workspace and/or Microsoft OfficeExcellent written and verbal communication skillsHigh level of discretion and confidentialityStrong organizational and time management skillsAbility to manage multiple priorities with minimal supervisionPreferred QualificationsExperience supporting executives in a multi-state or regulated industryExperience with board meeting coordination and board materialsExperience in healthcare, insurance, TPA, or benefits administration environmentsExperience working in remote organizationsFamiliarity with project tracking or workflow toolsCore CompetenciesExecutive presence and professionalismJudgment and discretionAttention to detailProactive problem-solvingCommunication excellenceOrganization and follow-throughAdaptability in fast-growth environments
