Project Record Coordinator

Opportunity for current Connecticut Department of Transportation employees to advance as Project Record Coordinator (Transportation District Highway Operational Coordinator) in the Bureau of Highway Operations, District 1 (Rocky Hill). The Role The Project Record Coordinator maintains and coordinates all aspects of state and federal project paperwork, ensuring timeliness, accuracy and compliance with record‑keeping regulations. The coordinator trains field personnel, serves as liaison to Central Maintenance Administration, and ensures adherence to Force Account Record‑Keeping procedures. Responsibilities Act as a liaison for field personnel on project paperwork and force account record‑keeping questions. Attend pre‑construction meetings with contractors to advise on compliance with record‑keeping regulations. Maintain files for all state‑ and federally funded projects to ensure costs align with funding amounts and prevent cost overruns. Ensure all project record requirements are being met. Perform audits of project books for accuracy and compliance with the Force Account Record‑Keeping System. Close out projects upon field completion. Back up the Radio Room Operator with radio and phone calls and disseminate road hazards or notifications to the field. Coordinate and report storm information to storm center staff during storms. Perform complex radio monitoring and communication. Serve as liaison with other units for status updates and reporting on projects and/or traffic incidents. Compile and analyze data for operational reports. Prepare, process, and submit required transportation‑related reports. Provide guidance to facility staff regarding proper record‑keeping procedures to ensure compliance with departmental, state, and federal requirements. Conduct periodic examinations of project inventories and incident event records. Coordinate and support emergency and storm response operations, including dispatch coordination and emergency personnel deployment. Support field crews by ensuring proper allocation of resources and equipment. Interpret and apply standard operating procedures and agency policies. Operate and monitor a full range of automated equipment including traffic cameras, signage, signal systems and software applications. Perform snow removal operations at assigned facilities. Perform general facility maintenance, including mowing, snow removal and grounds upkeep. Position Requirements Considerable knowledge of general office systems related to construction, maintenance and repair operations of highway, bridge, and roadway maintenance. Knowledge of procurement and purchasing processes, including estimating and ordering materials, and documenting use of materials. Knowledge of federal, state, and agency compliance requirements and highway incident and accident reporting processes. Strong interpersonal, oral and written communication skills. Ability to perform basic arithmetical computations. Ability to operate office equipment including computers, radio equipment, and other electronic equipment. Ability to schedule and prioritize workflow and read and interpret complex instructions. Ability to prepare estimates and maintain records, operate transportation and office suite software, and utilize computer software. Minimum Qualifications Three (3) years of general clerical work experience. Preferred Qualifications Experience using Microsoft Office suite (Outlook, Word, Excel, SharePoint, OneDrive, PowerPoint), and state computer programs such as Stars and CORE‑CT. Experience reviewing and maintaining files of state and federally funded projects for accuracy in reporting hours, manpower, equipment, material use, and costs. Experience working independently without direct supervision. Experience in written and oral communication, record maintenance, problem solving, and researching information. Experience preparing Purchase Orders, Purchase Requisitions and Receiving Reports. Position Highlights Monday – Friday, 7:30 AM – 4:00 PM (First shift); full‑time (40 hours per week); location: Rocky Hill, CT; on‑site work environment. Employees may be required to stay at work for the duration of storms, including holidays and weekends, and must accept mandatory overtime for emergencies such as snow and ice removal.
