Position Summary

PROVEN is seeking an experienced Project Manager for Workplace Solutions to support interior design, space planning, FF&E, facilities transitions, and workplace improvement projects nationwide.

This position combines design expertise with project management and operational coordination. The successful candidate will manage projects from initial programming and planning through design coordination, procurement, installation, occupancy, and closeout.

The ideal candidate has a formal educational background in Architecture, Interior Design, or a closely related discipline, understands commercial workplace environments, and can translate client requirements into functional, efficient, and well-coordinated project solutions.

The Project Manager will work collaboratively with PROVEN leadership, architects, interior designers, engineers, furniture dealers, contractors, vendors, and client representatives to ensure projects are delivered safely, efficiently, on schedule, and within established budgets.

This is a remote-based position requiring frequent travel to project locations throughout the United States.

Essential Responsibilities

Interior Design & Space Planning

  • Lead and coordinate workplace programming, interior design, space planning, and occupancy planning activities.
  • Conduct client interviews, site assessments, field verification, and space utilization reviews to establish project requirements.
  • Develop and coordinate conceptual space plans, furniture layouts, test fits, and workplace planning recommendations.
  • Review architectural drawings, floor plans, furniture plans, elevations, finish schedules, and design specifications.
  • Support the development of design concepts, finish selections, furniture standards, and workplace solutions.
  • Coordinate with architects, designers, engineers, and contractors to ensure design solutions align with client requirements, budgets, and schedules.
  • Evaluate space utilization, workflow, accessibility, furniture configurations, and operational requirements.
  • Identify design conflicts, field discrepancies, and constructability concerns and coordinate appropriate resolutions.
  • Ensure design documentation is accurate, coordinated, and suitable for project execution.

Project Management & Delivery

  • Develop comprehensive project plans, schedules, budgets, milestones, and deliverables.
  • Manage assigned projects from initial planning through implementation, occupancy, and closeout.
  • Coordinate multiple projects and workstreams while maintaining accountability for project requirements.
  • Lead project meetings, stakeholder workshops, design reviews, and coordination sessions.
  • Monitor project schedules, budgets, resource allocations, and deliverable status.
  • Identify project risks and develop contingency plans to minimize delays and operational disruptions.
  • Coordinate with internal teams, client representatives, contractors, and third-party vendors.
  • Maintain project documentation, action-item logs, schedules, risk registers, and progress reports.
  • Prepare professional presentations, project updates, and executive briefings.
  • Escalate material issues promptly with recommended solutions and anticipated impacts.

FF&E Procurement & Installation Coordination

  • Support furniture, fixtures, and equipment (FF&E) planning, selection, specification, procurement, delivery, and installation.
  • Coordinate with furniture manufacturers, dealers, installers, and procurement teams.
  • Review furniture specifications, quantities, layouts, and installation requirements.
  • Assist with procurement documentation, pricing reviews, purchase orders, and vendor coordination.
  • Monitor procurement schedules, manufacturing lead times, deliveries, and installation milestones.
  • Coordinate furniture installation, reconfiguration, relocation, and punch-list activities.
  • Verify installed furniture and equipment align with approved plans and client requirements.
  • Identify and resolve furniture-related deficiencies, delivery discrepancies, and installation issues.
  • Workplace Transitions & Operational Readiness
  • Develop and coordinate transition plans for new facilities, renovations, workplace reconfigurations, and occupancy changes.
  • Establish transition schedules, sequencing plans, and readiness milestones.
  • Coordinate furniture, technology, equipment, supplies, and other resources required for successful occupancy.
  • Work with facilities personnel, contractors, IT teams, vendors, and client representatives to verify site readiness.
  • Coordinate project activities to minimize disruption to client operations.

  • Support facility walkthroughs, readiness assessments, inspections, and turnover activities.
  • Identify operational risks and coordinate corrective actions before occupancy or transition.
  • Develop transition checklists, tracking tools, training plans, and related documentation.

Construction & Facilities Coordination

  • Coordinate interior renovation, workplace improvement, and minor construction activities associated with assigned projects.
  • Work with architects, engineers, construction managers, contractors, and facility representatives.
  • Review project scopes, design documentation, construction schedules, and technical requirements.
  • Monitor construction progress and coordinate activities affecting furniture installation, space readiness, and occupancy.
  • Identify scope discrepancies, schedule conflicts, and potential change-order requirements.
  • Support inspections, punch-list reviews, project turnover, and closeout.
  • Ensure applicable building codes, accessibility requirements, safety standards, and client requirements are considered throughout project execution.
  • Quality Assurance & Continuous Improvement
  • Monitor compliance with PROVEN procedures, client quality standards, and contractual requirements.
  • Review project deliverables for completeness, accuracy, and alignment with approved requirements.
  • Identify deficiencies and coordinate timely corrective actions.
  • Develop and implement repeatable project management processes, templates, checklists, and reporting tools.

  • Document lessons learned and recommend improvements to project delivery.
  • Promote consistent standards across design, procurement, installation, and workplace transition activities.
  • Maintain accurate records and provide regular status updates to PROVEN leadership.

Client & Stakeholder Management

  • Serve as a primary point of contact for assigned project activities.
  • Build and maintain professional relationships with federal and commercial clients.
  • Facilitate meetings with client leadership, end users, facilities teams, design professionals, and contractors.
  • Communicate project status, risks, design considerations, and recommendations clearly.
  • Present design and workplace planning concepts to stakeholders.
  • Coordinate competing requirements while maintaining alignment with project objectives.
  • Represent PROVEN professionally and protect client interests throughout project delivery.

Required Qualifications

  • Bachelor's degree in Architecture, Interior Design, Interior Architecture, or a closely related design discipline required.
  • Minimum 5 years of relevant professional experience in interior design, space planning, workplace solutions, facilities project management, or related project delivery.
  • Demonstrated experience supporting commercial interior design, space planning, FF&E, or workplace projects.
  • Ability to read, interpret, and coordinate architectural drawings, floor plans, furniture plans, elevations, and technical specifications.
  • Working knowledge of commercial furniture systems, interior finishes, and workplace planning principles.
  • Experience developing project schedules, coordinating deliverables, and managing multiple stakeholders.
  • Strong organizational, analytical, communication, and problem-solving skills.
  • Ability to manage multiple projects and competing priorities.
  • Proficiency with Microsoft Word, Excel, PowerPoint, Outlook, and Teams.
  • Ability to prepare professional reports, presentations, and project documentation.
  • Ability to work independently and exercise sound judgment.

Experience coordinating facility transitions, workplace relocations, and operational readiness activities.

  • Proficiency with AutoCAD and Revit
  • Experience with commercial systems furniture, FF&E specifications, procurement, and installation coordination.
  • Experience using Microsoft Project, Smartsheet, Asana, or comparable project management software.Experience developing Statements of Work (SOW), cost estimates, procurement packages, and project schedules.

Preferred Qualifications

  • National Council for Interior Design Qualification (NCIDQ) certification.
  • Project Management Professional (PMP) or Certified Associate in Project Management (CAPM) certification.
  • Experience developing space plans, test fits, furniture layouts, and occupancy plans.
  • Experience supporting federal government facilities, workplace modernization, and relocation projects.
  • Knowledge of ADA and Architectural Barriers Act (ABA) accessibility requirements.
  • Familiarity with commercial building codes and interior construction standards.
  • OSHA 10 or OSHA 30 certification.

Travel & Work Environment

  • Work may take place in occupied commercial facilities, federal buildings, active construction environments, warehouses, and project installation sites.
  • Project requirements may occasionally involve early mornings, evenings, or weekends.
  • Employees must comply with applicable safety, background screening, and client-site access requirements.

  • Delivering accurate and coordinated design and project documentation.
  • Managing assigned projects within approved schedules and budgets.
  • Developing functional workplace solutions that meet client requirements.
  • Coordinating FF&E procurement and installation activities effectively.
  • Identifying design, construction, and transition risks before they affect project delivery.
  • Maintaining clear communication with clients, vendors, and PROVEN leadership.
  • Producing timely, accurate project reporting and documentation.
  • Maintaining accountability for assigned deliverables and corrective actions.
  • Supporting successful facility occupancy and workplace transitions.
  • Demonstrating professionalism, technical competence, ownership, and sound judgment.

Compensation & Benefits

Annual Salary Range: 105,000–$115,000

Compensation will be determined based on relevant experience, educational qualifications, professional certifications, technical expertise, geographic considerations, and internal equity.
