Accounts Payable Specialist

A company in the Rehoboth Beach area is looking for an Accounts Payable Specialist to join their team. Reporting to the Controller, this role is responsible for the accurate and timely processing of vendor invoices across multiple business lines while ensuring compliance with company policies, accounting standards, and vendor requirements.
Key Responsibilities:

Accounts Payable Processing

Process vendor invoices, check requests, and payment documentation accurately and timely.
Perform three-way matching of invoices, purchase orders, and purchase receipts when applicable.
Review and code invoices accurately and route them to the appropriate approvers.
Ensure invoices are processed promptly to support month-end close deadlines.
Assist with weekly and ad hoc payment runs as needed.

Vendor Management

Build and maintain positive vendor relationships by addressing inquiries and resolving discrepancies.
Ensure timely vendor payments and follow up on outstanding issues.
Manage vendor onboarding documentation, including W-9s, payment authorization forms, and other required records.
Review and validate vendor change requests in accordance with company procedures to mitigate fraud risks.
Support annual IRS reporting requirements, including preparation and filing of Forms 1099-MISC and 1099-NEC.

Reconciliations & Compliance

Record and reconcile corporate credit card transactions.
Record and reconcile company purchasing card transactions.
Monitor and audit vendor records to ensure compliance with required agreements and documentation.
Process employee expense reimbursements according to company policies.
Maintain organized electronic accounting records and accounts payable documentation.
Assist with external audit requests by providing supporting documentation as needed.

Process Improvement & Administrative Support

Contribute to accounts payable process improvements and system enhancements.
Provide administrative support to the Accounting team, including handling mail and vendor payments.
Perform other duties and special projects as assigned.

Required Skills & Experience

Minimum of 3 years of accounts payable experience using a modern accounts payable system.
Strong understanding of accounts payable processes and controls.
Proficiency in Microsoft Office Suite, particularly Excel, Outlook, and Word.
Excellent organizational, time management, and prioritization skills.
Strong attention to detail with a commitment to accuracy and quality.
Ability to thrive in a fast-paced, high-volume environment.
Excellent written and verbal communication skills.
Ability to maintain confidentiality when handling sensitive financial information.
Strong problem-solving and critical-thinking abilities.
Ability to work independently while collaborating effectively within a team environment.
