JOB SUMMARY

The Veterinary Resource Coordinator is responsible for overseeing the coordination and logistics of live animal and cadaver resources, building and maintaining relationships with community partners, and ensuring compliance with regulatory requirements. 

EDUCATION, EXPERIENCE SKILLS & ABILITIES

  Education

• Bachelor’s degree in animal science, Veterinary Technology, Event Management, or a related field, or equivalent experience.

Experience

• Minimum of 2 years of experience in animal resource management, logistics, or event coordination.
• Familiarity with live animal handling and cadaver management in veterinary or educational settings is preferred.
• Experience with compliance monitoring, including IACUC or similar regulatory requirements, is highly desirable.
• Proven ability to build and maintain professional relationships with community partners.

• Knowledge of Animal Resources: Familiarity with live animal handling, cadaver logistics, and veterinary educational settings.

  JOB SPECIFIC DUTIES

Live Animal Coordination

• Coordinate live animal resources for courses, including procurement, care coordination, and appropriate use in accordance with regulatory and ethical standards.
• Maintain, track, and verify live animal paperwork to ensure documentation remains accurate, complete, and current throughout the animal’s time in care.
• Serve as the primary point of contact for VetRadar and EzyVet-related questions, concerns, and issues; enter and maintain accurate program data, develop and maintain templates, support new program and process integration, and provide training and ongoing support to team members.
• Scheduling Veterinary Resource transporters
• Coordinate course-specific live animal needs with Veterinary Team, including incoming animal scheduling, processing, and timely release for assigned courses.
• Serve as the primary live animal support contact for staff and course participants, providing guidance on handling, documentation, care expectations, and coordination needs throughout the   program.

Cadaver Coordination

• Create and maintain inventory system for cadavers and develop other systems as needed in collaboration with IT team. 
• Assess and fulfill cadaver needs for   each course in collaboration with Veterinary Team members, maximizing   available resources through reuse, reallocation, and optimization whenever possible.
• Communicate course-specific cadaver pull   requirements, including the appropriate number and type of specimens needed   based on course objectives and available inventory.
• Coordinate and assist with cadaver pickups based on current inventory needs, specimen availability and quality, transportation requirements, and overall operational efficiency.
• Ensure all cadaver intake, movement, use, and inventory scans are completed accurately and reconcile discrepancies as   needed.
• Review inventory, utilization, and course reports to forecast cadaver needs, inform resource planning, and support timely course preparation.
• Coordinate with and engage additional   cadaver partners as needed to support resource availability.

Community Partnerships

• Communicate with shelter and rescue partners regarding live animal needs, required documentation, medical findings, concerns, follow-up, and other relevant information throughout the animal's time in care.
• Act as a liaison between the organization and community partners, fostering collaboration and ensuring mutual benefits.
• Building/maintaining community-partner relationships for both live animals and cadavers.

Compliance and Oversight

• Schedule and coordinate Institutional Animal Care and Use Committee (IACUC) meetings, monitor compliance, and ensure proper documentation.
• Maintain compliance with USDA documentation requirements and ensure records are up to date.
• Maintain and monitor cadaver freezer temperatures, identifying general maintenance concerns, and communicates with vet team and facilities team for safety and compliance 
• Create, implement, review, and   update departmental Standard Operating Procedures (SOPs) for assigned areas, including live animal clinic software, cadaver inventory management, transportation, cleaning and sanitation, and other departmental processes, to   ensure practices are clearly documented and consistently followed.
