About the Role
We are seeking an organized and mission-driven Nonprofit Office Manager & Administrative Coordinator to oversee day-to-day office operations, facilities, and administrative workflows. In this high-impact role, you will support program teams, executive leadership, HR, and marketing efforts ensuring our administrative operations run smoothly so our team can deliver maximum impact to the community.
Key Responsibilities
- Office & Facility Management: Oversee daily office operations, reception for two organizations, email for two organizations, mail, and shared spaces. Serve as the primary point of contact for facility and equipment maintenance.
- Cross-Department Support (HR & Marketing): Assist HR with onboarding paperwork, filing, and confidential record retention. Assist marketing with drafting social media posts (Facebook/Instagram), flyers, newsletters, and brochures.
- Student, Graduate & Alumni Relations: Coordinate alumni outreach, administer surveys (student, placement, employer), follow up on missing reports, and curate career opportunities on the alumni Facebook page and email distribution lists.
- Meeting & Event Logistics: Organize board meetings, staff calendars, community events, and volunteer orientations. Handle room setups, logistics, materials, and formal meeting minute-taking.
- Vendor & Inventory Control: Manage relationships with office vendors, maintain inventory levels for retail/sale items, and re-order supplies while practicing responsible stewardship of donor funds.
- Compliance & Recordkeeping: Maintain organized digital and physical filing systems for program, development, and governance records to meet nonprofit compliance, confidentiality, and record-retention standards.
Qualifications & Requirements
- Education: Bachelor’s degree in Business Administration, Nonprofit Management, or a related field.
- Experience: 2+ years of experience in office administration, operations, or administrative assistance (experience in a nonprofit, academic, or mission-driven organization preferred).
- Software & Technical Proficiency:
- Proficient in MS Office Suite (Word, Excel, Outlook) and Google Workspace.
- Familiarity with CRMs, basic databases, cloud storage (Dropbox/Google Drive), and social media platforms (Facebook/Instagram).
- Core Competencies:
- Strong written and verbal communication skills across diverse staff, board members, students, and community partners.
- Proven ability to prioritize multiple projects, maintain high accuracy, and handle sensitive, confidential data.
