Position Summary

The Accountant's primary function is accounting support for ATON, LLC — working within BQE Core, managing vendor invoicing and payment through Bill.com, and maintaining vendor W9 forms — alongside Clifton Larson Allen (CLA), ATON's outside accountant, who handles ATON's bookkeeping and month-end close. This role also manages payroll and 401(k) administration for ATON, and will coordinate the transition of NPN and PART employees onto ATON's 401(k) plan, since the plan does not segregate by company. The Accountant also provides accounting support to NPN Environmental Engineers and PART (Professional Abatement & Remediation Technologies) — including time accounting, accounts payable, and insurance/COI administration — working under the direction of the internal Accounting Manager who oversees NPN and PART accounting, and supports the accounting system transition to BQE Core for NPN and PART.

Requirements

· Associate's degree in Accounting, Finance, or a related field, or equivalent experience

· 3+ years of accounting or bookkeeping experience, ideally in a multi-entity or professional services environment

· Experience working with a consulting or contracting firm desired

· Payroll and 401(k) administration experience

· Proficiency with QuickBooks; experience with BQE Core or a similar project-based ERP is a plus

· Experience with Bill.com or a similar accounts payable platform

· Strong working knowledge of Microsoft Word and Excel

· Excellent communication skills and a high level of accuracy and attention to detail

· Ability to maintain confidentiality of financial and payroll information

Major Duties and Responsibilities

ATON Accounting (alongside CLA, ATON's outside accountant)

- Work within BQE Core for ATON's day-to-day accounting and project financial tracking

- Manage vendor invoice processing and payment through Bill.com for ATON

- Manage and maintain vendor W9 forms for ATON

- Coordinate with CLA (Clifton Larson Allen), which handles ATON's bookkeeping and month-end close

- Generation of project invoices

- Managing accounts payable / accounts receivable

Payroll and 401(k)

- Manage payroll and 401(k) administration for ATON

- Coordinate the transition of NPN and PART employees onto ATON's 401(k) plan, working with the internal Accounting Manager on entity-level tracking since the plan does not segregate by company

 

NPN and PART Accounting (supporting the internal Accounting Manager)

- Support the internal Accounting Manager with day-to-day accounting for NPN and PART

- Maintain NPN and PART accounting records in QuickBooks during the transition to BQE Core

- Assist with the BQE Core onboarding and data migration for NPN and PART

- Support client invoicing for NPN and PART project work

Time Accounting (NPN and PART)

- Enter timesheets and project codes into QuickBooks

- Enter timesheets into the time accounting spreadsheet weekly and distribute to Principals for approval; file individual timesheets

- Update and maintain vacation status reports

- Assist with the BQE Core onboarding and data migration for NPN and PART

Accounts Payable (NPN and PART)

- Enter AP invoices into QuickBooks

- Send entered AP invoices to Project Managers for review and approval

- Prepare weekly AP reports for review and approval by the internal Accounting Manager and Principals

- Prepare checks for payment on the weekly AP report

- Track AP invoices to avoid late fees, interest charges, and discrepancies

- Enter, track, and reconcile credit card receipts and statements

- Keep AP filing current

Insurance (NPN and PART)

- Process vendor requests for Certificates of Insurance (COIs)

- Update and maintain the COI spreadsheet

General Administrative Support (NPN and PART)

- Prepare and maintain accounting files
