Schedule: Monday-Friday, 8:00am-4:00pm, onsite

Job Summary

We are seeking a professional and organized Receptionist to serve as the first point of contact for a busy corporate office. This position is responsible for creating a welcoming experience for visitors, handling a high volume of incoming calls, and providing general administrative support to keep daily office operations running smoothly.

The ideal candidate is personable, professional, highly organized, and comfortable managing multiple priorities in a fast-paced environment. This role combines customer service, front desk coordination, scheduling, and general office support.

Key Responsibilities

• Greet and welcome visitors, clients, vendors, and employees and direct them to the appropriate person or department.
• Provide a professional, friendly, and helpful experience for all guests and callers.
• Answer a high volume of incoming phone calls, provide basic information, and route calls appropriately.
• Take accurate messages and ensure timely follow-up on calls and inquiries.
• Maintain a clean, organized, and welcoming reception and lobby area.
• Perform general administrative duties including filing, photocopying, scanning, and document handling.
• Sort and distribute incoming mail and packages and prepare outgoing mail and shipments.
• Monitor office supply levels and coordinate reorders as needed.
• Assist with scheduling meetings and appointments, including reserving conference rooms and necessary resources.
• Support calendar coordination and basic travel logistics for leaders as needed.
• Provide general administrative support to various departments as requested.
• Assist with office events and coordination of activities as needed.

Candidate Qualifications

• 1-2 years of customer service or administrative experience, preferably in a corporate office environment.
• Experience handling a high volume of calls.
• Experience with office inventory, calendar management, meeting scheduling, and conference room coordination.
• Proficiency with Microsoft Office Suite.
• Strong verbal and written communication skills.
• Highly organized with strong attention to detail and time-management skills.
• Professional, approachable, and outgoing personality.
• Comfortable interacting with visitors, vendors, employees, and professionals at all levels.
• Ability to manage multiple tasks while remaining professional and composed.
• High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
• Comfortable using standard office equipment, including multi-line phones, printers, copiers, and scanners.

Preferred Experience

• Experience supporting a busy front desk in a corporate or multi-department office.
• Customer-facing, hospitality, or other service-oriented experience.
• Experience working with executives or senior-level employees and handling confidential information.
• Experience coordinating meetings, events, or office gatherings.
