Job Highlights As a Public Records Analyst Forms & Records Analyst 3, you will work on the Public Records Units team to ensure the agency meets obligations of the Public Records Act RCW42.56. In this role you provide public access to agency records, ensuring transparency to customers while protecting confidential information. By collecting, reviewing, and providing records in a timely manner, the agency can maintain focus on its core mission and uphold government accountability to the citizens of Washington. Duties Manage, organize and direct the research, analysis and collection of data and records relevant to responses to agency public records requests. Use Microsoft eDiscovery to run and export searches. Coordinate responses with other programs and staff in defining needs, planning, developing courses of action and providing technical assistance. Meet statutorily mandated and self‑imposed deadlines with requesters. Determine the level of research method and analysis and provide responsive materials. Organize documents and track steps and analysis of processing requests in the Public Records Request Tracking System (PRRTS) to ensure complete and accurate files per the unit standards. Use independent judgment for denial of access to agency records and data under the Public Records Act and other legal statutes. Apply appropriate redactions using standard software tools. Provide the correct exemption code and log to explain why records were withheld or redacted, maintaining confidentiality. Use advanced writing skills to ensure compliance with agency‑accepted writing standards and provide accurate responses that include valid statutory references for all denials. Effectively communicate with customers to clarify requests as needed. Create custom responses to requestors to clearly identify requested materials and provide accurate and timely responses. Required Qualifications A bachelor’s degree in business administration, public administration, education, or a related field and at least two years of experience working in public records or managing confidential records. An associate’s degree in business administration, public administration, education, or a related field and at least four years of experience working in public records or managing confidential records. A minimum of six years of experience working in public records or managing confidential records. High organization and the ability to make quick decisions. Demonstrated knowledge of the Public Records Act RCW42.56. Proficiency with Microsoft Word, Outlook, Excel, Access, and Adobe Acrobat Professional. Strong oral and written communication skills. Desired Qualifications Familiarity with Microsoft eDiscovery. Familiarity with the agency and the purpose of its various programs. Typing accuracy of at least 40 words per minute.
