Reports To: Head of School, Director of Operations 
Employee Classification: Full-Time, Non-Exempt, 12-month position

Salary Range: $25-$30/hour

Daily Schedule: Monday-Friday, 8:45am-5:30pm (with a 45 minute break)

Job Summary

The Extended Day and Camp Manager owns the school's extended-day and summer program from arrival to pickup year-round. This person hires, trains, and supervises the After School Assistant Teacher team; maintains every community space that the program uses, including the playground; and builds the bridge between the school-day program and after care so a child's transition is calm and predictable. The Manager sources and manages the outside vendors who deliver Upper School enrichments, and runs Summer Camp as its own season with its own staffing, schedule, and safety plan.

This is a hands-on role. The Manager is present during program hours, visible on the playground and in program spaces, and the first point of contact for families, staff, and vendors during after care and camp.

Job Duties and Responsibilities

Staff Leadership

• Hire, train, schedule, and supervise After School Assistant Teachers.
• Set staff-to-child ratios for each activity and space as dictated by our Before and Afterschool Childcare license, and adjust coverage day to day as enrollment shifts.
• Run onboarding for new assistant teachers, including behavior guidance, emergency procedures, and program routines.
• Conduct regular check-ins and an annual performance review for each direct report.
• Hire, train, schedule, and supervise the Summer Camp teacher team each spring, including seasonal and returning staff.

Community Spaces and Environments

• Hold ownership of all community spaces used by the After School and Summer Camp programs, including the playground.
• Create and maintain a standing work list covering setup, refresh, and repair needs across every program space.
• Walk each space on a regular schedule to confirm it is prepared, clean, and safe before students arrive.
• Track material and equipment needs and route purchase or repair requests through the facilities process.
• Coordinate directly with facilities and maintenance staff on playground upkeep, safety surfacing, and outdoor equipment.

Program Collaboration and Transitions

• Meet regularly with the Lower School Program Director and the Upper School Program Director to plan a seamless handoff from the school day to After School.
• Align After School routines, expectations, and behavior language with the school-day program so students experience one consistent culture.
• Share information in both directions: pass along relevant classroom or student updates from the school day into After School, and flag After School observations back to classroom teams.
• Plan and adjust the daily transition schedule, dismissal flow, and sign-out process with both Program Directors.

Vendor and Enrichment Management

• Identify, vet, and contract external vendors for Upper School enrichment offerings.
• Negotiate vendor agreements, fees, and schedules, and manage renewals season to season.
• Confirm each vendor carries required insurance, background checks, and safety training before working with students.
• Monitor vendor-led sessions for quality and fit, and gather family feedback each term.
• Manage the enrichment sign-up and billing process in coordination with the business office.

Summer Camp Direction

• Design the summer camp schedule, weekly themes, and activity calendar.
• Own camp enrollment, family communication, and camp-specific forms and health records.
• Set camp staffing, hire and train counselors, and manage camp-week logistics including field trips and special guests.
• Prepare camp spaces, equipment, and supplies ahead of each session and manage the same work list process used during the school year.

Health Safety and Compliance

• Maintain current CPR and First Aid certification for the program and confirm staff certifications are current.
• Follow all licensing, ratio, and safety requirements for after-school and camp programs.
• Maintain accurate attendance, sign-in/sign-out, and incident documentation.
• Lead emergency drills and procedures specific to After School and Camp hours.
• Hold Director point of contact role with Colorado Licensing for our Before/After Care license

Family and Community Communication

• Serve as the primary point of contact for families with After School and Summer Camp questions.
• Send regular family communication on schedules, closures, weather plans, and program updates.
• Represent After School and Summer Camp at open houses, orientation, and other family-facing events.

Qualifications

• Bachelor’s degree or equivalent experience in education, event coordination, program management, or related field
• Three or more years of experience supervising staff in a school-age childcare, camp, or youth program setting.
• Strong organizational, communication, and interpersonal skills, with a demonstrated ability to manage multiple projects and deadlines effectively
• Proven experience collaborating with external vendors and program providers
• Proficiency in standard office software (Google Workspace, Microsoft Office) and comfort with learning new digital platforms
• Ability to lift and move up to 40 lbs., and willingness to obtain appropriate licensure to drive the school van if not already held
• Ability to respond calmly and quickly to changing circumstances and emergencies
• Clear communicator, confident in interacting with a wide range of stakeholders, including vendors, staff, and licensing officials
