About the RoleBase Power Company is seeking a highly organized and detail-oriented Fleet Management Associate to own the day-to-day operations of our vehicle fleet. This role handles the administrative, compliance, and vendor coordination work that keeps our fleet running safely, legally, and efficiently.
What You’ll Do
Maintain accurate fleet records including vehicles, maintenance schedules, compliance documentation, and checkout forms
Monitor weekly driver inspection reports, ensure they're completed on time, and follow up on findings
Review PM schedules, create work orders, and coordinate maintenance and repairs with vendors to minimize downtime
Manage insurance claims from first notice through resolution, coordinating with providers and repair shops
Track fleet damage incidents and compile regular fleet reports
Monitor fuel card activity for alerts and policy violations; process fuel card and toll bill payments on schedule
Maintain registration records, coordinate driver inspections required for renewals, and order and install license plates, toll tags, and telematics devices as needed
Review telematics data in Samsara to identify policy violations (speeding, mobile phone use, etc.), assign coaching sessions, and track completion
What You'll Bring
2+ years in fleet administration, logistics, or operations coordination
Experience with a fleet management system — Fleetio and Samsara preferred
Strong organizational and follow-up skills with the ability to manage multiple vendors and deadlines simultaneously
Comfortable with bill payment, invoice reconciliation, and financial recordkeeping
Familiarity with state vehicle registration processes and insurance claim coordination
Prior work with fuel card programs (WEX, Fuelman, or similar) is a plus
Knowledge of DOT inspection requirements is a plus
About the Team
Field Operations is Base Power’s boots on the ground, acting as the driving force behind our physical footprint and real-world execution. This team sits at the intersection of logistics, fleet management, and local vendors, ensuring our physical assets are exactly where they need to be, when they need to be there.
Beyond managing daily logistics, the team plays a key role in optimizing asset utilization, managing operational costs, and scaling our regional supply chains. Their work directly impacts vehicle uptime, maintenance efficiency, and the overall reliability of our network—making them a critical driver of our growth.
This is a team built for people who enjoy fast-paced problem solving, process optimization, and developing a deep understanding of what it takes to run a high-performing, asset-heavy operation.
