Billing & Contracts Specialist

Join a dynamic team as a Billing & Contracts Specialist, where you will play a key role in managing the full lifecycle of contracts with customers, subcontractors, and vendors. This position is essential to ensuring compliance, reducing risk, and supporting both operational teams and shared services throughout the bidding process, project execution, and post-acquisition integration. Responsibilities

• Draft, review, and maintain contracts for clients, vendors, and subcontractors, ensuring accuracy and compliance with company standards.
• Monitor contract milestones, renewals, and obligations to ensure all parties meet their commitments.
• Ensure contracts adhere to legal, insurance, and platform requirements.
• Collaborate with sales and project managers to support bid proposals and contract negotiations.
• Track and process change orders and amendments to reflect updated project scopes or costs.
• Maintain organized and audit-ready contract files for legal and compliance reviews.
• Partner with Accounting to coordinate billing milestones and revenue recognition.
• Coordinate with HR to ensure subcontractor compliance, including certificates and labor agreements.
• Work with Legal and Risk Management teams to address claims or disputes as needed.

Qualifications

• Bachelor’s degree in Business, Accounting, or a related field.
• 3–5 years of experience in contract administration or a similar role.
• Knowledge of construction or landscaping industry contracts is preferred.
• Strong organizational skills and the ability to manage multiple contracts simultaneously.
• Familiarity with ERP and document management systems such as Aspire and DocuSign.
• Excellent communication and collaboration skills.
• Attention to detail and a proactive approach to problem-solving.
