Front Desk Supervisor
The Front Desk Supervisor will support the functions of the hotel by overseeing customer service at the front desk; processing guest reservations and requests; and supporting the guests; and supervising hotel staff. The person in this position will also provide customer service support for Southern Student Housing. This position is Monday-Friday, 7:00AM-3:30PM.
The employee in this position will have the following essential job functions:
- Recruit, hire and train all part-time front desk staff. Creatively adapting training techniques to fit the staff and department needs.
- Solve problems creatively, adhering to hotel standards, and manage emotional situations in a calm and professional manner
- Interact with guests in the following ways:
- Provide a warm welcome to guests
- Answer guests' inquiries via phone calls, emails, and in-person interactions
- Make hotel reservations for external guests
- Professionally and promptly address guests' concerns and questions, including taking requested items to guest rooms
- Ensure that hotel rooms and premises are properly maintained
- Submit work orders when maintenance issues arise
- Communicate with Sodexo directly and clearly to schedule maintenance of hotel rooms
- Inspect cleanliness and orderliness of hotel rooms, communicating with housekeeping as issues arise
- Responsible for all guest reservations
- Accurately process guest reservations and guest payments. Ensure all folios are balanced at check out
- Audit the accuracy of reservations
- Create and manage both internal and external group blocks
- Work with Events, Admissions, and other departments on campus to provide proper guest support for internal guests
- Oversee graduation reservations
- Execute daily operations of the Hotel
- Open Legacy Hotel every weekday
- Perform Daily Transaction Reports and run credit card reports
- Complete the night audit every weekday
- Oversee internal billing for the Legacy Hotel
- Maintain knowledge and upkeep of Maestro PMS
- Maintain knowledge and awareness of special events, conventions, business meetings and other opportunities on campus
- Abide by the standards and guidelines set forth in the Policy Manual
- Oversee Legacy Vehicle Rentals and policies, maintenance and fuel
- Ensure a clean and professional work environment
- Maintain a professional appearance and attitude
- Able to stand for long periods of time if necessary
Housing
- Cross-trained and participate in daily activities of the Student Housing Office, including:
- Answering phones
- Responding to residents' questions and requests in person
- Taking maintenance requests
- Assist Billy Graham School with missionary housing
- Make missionary housing reservations
- Properly maintain missionary apartments, communicating with Sodexo as housekeeping maintenance and support is needed
Performs other duties as may be assigned by the supervisor.
The person in this position is preferred to have some college.
The person in this position should have some experience in customer service, sales, or the hospitality industry.
The person in this position will supervise all front desk staff.
The person in this position will report to the Director of Operations.
The person in this position will work primarily in an office setting, although they will occasionally have to visit guest rooms requiring them to go outside and be exposed to the weather. This person will also have to be able to lift up to 35 lbs.
The person in this position will use the following equipment: computer, copier, printer, and other generic office equipment.
