Contract & Sales Operations Specialist

You'll manage bids from the first document to the final contract, serving as the go‑to expert for a company that has spent over eight decades earning customer trust. What You Will Do Manage the entire bid process from start to finish, including document preparation, submission, and follow‑up. Serve as the primary point of contact for all bids, bid renewals, and contract‑related matters. Maintain, update, and manage all state order forms, pricing sheets, and related bid documentation to ensure accuracy and compliance. Coordinate and complete vendor registrations and vendor portal requirements related to bids, contracts, and procurement opportunities. Assist with phone calls and email communications when team members are unavailable. Develop and maintain a structured documentation and file‑storage system for analyzing competitors, bid tabulations, historical bids, and contract records. Ensure all folders are organized, updated, and maintained with each new bid, contract, and relevant market intelligence to support ongoing competitive analysis and business development efforts. Communicate with internal teams to gather required information and supporting documentation for bids and proposals. Ensure compliance with all bid requirements, deadlines, and submission guidelines. Respond to inbound calls and web leads. Prepare and provide accurate quotes for customers as needed. Utilize Customer Relationship Management (CRM) platform when needed. Perform other duties as assigned. Requirements Excellent organizational skills and attention to detail. Exceptional verbal and written skills. Prior contract and bid experience preferred. A desire to work in a team environment. Ability to meet deadlines. MS Outlook and MS Professional Office Suite experience. Experience in CRM system preferred.
