This role is part of the Texas Health and Human Services Commission Community Services division and focuses on connecting individuals to services that reduce institutionalization and allow them to remain in their communities. Responsibilities Clerk III provides secretarial and administrative support to a Community Care supervisor and community care workers. Responsibilities include: Assists with the intake process and consistently utilizes automated systems to manage, obtain and verify information. Completes reports and tracks assignments. Maintains confidential files and purges case folders. Provides excellent customer service in person, over the telephone and via e-mail to internal and external staff, community partners, and individuals receiving services. Assists with travel arrangements, prepares travel vouchers, schedules meetings, orders supplies, and works on special assignments. Provides reception coverage as needed. Essential Job Functions (EJFs) Attends work on a regular and predictable schedule in accordance with agency leave policy. Provides secretarial support to the Unit Supervisor and staff in multiple office locations. (30%) Documents information manually and into multiple automated systems. (20%) Answers telephones and distributes mail. (25%) Organize, compile, purge and maintain personnel and administrative files. (15%) Completes special assignments and/or reports. (10%) Knowledge, Skills, and Abilities (KSAs) Ability to work in a professional customer service environment. Work experience indicating understanding and ability to perform duties. Experience in developing and/or maintaining logs and reports. Experience using fax machines, printers, and other office equipment. Ability to communicate effectively orally and in writing. Knowledge of and ability to operate personal computer and use Microsoft Office products. Knowledge of English language such as vocabulary, grammar, and organization of expression for composing correspondence and interpersonal communication. Ability to organize and prioritize multiple, competing duties and tasks; knowledge of time management and completion of assignments by established deadlines. Knowledge of, and/or experience with Community Care programs for the aged and disabled, as well as community resources for this population (preferred). Ability to perform routine office duties such as filing, typing, answering the telephone, copying, faxing, etc. Initial Screening Criteria Experience in use of a personal computer, including Microsoft Office programs, fax machines, printers and other office equipment. Education equivalent to a high school diploma or equivalency. Preference for experience in customer service. Willingness to travel up to 10% of the time. Ability to communicate effectively in writing.
