Finance Accounting Manager

We serve thousands of customers and process well over 100 million API calls a month on a modern, Cloudflare-native infrastructure, with pricing built around subscriptions, prepaid credits, and usage-based billing. We care about accurate numbers, disciplined spending, healthy margins, and making decisions based on what's actually happening in the business — and we're increasingly building AI and automation directly into how we run finance, not just into our product. About the Role We're hiring a hands-on Finance & Accounting Manager to own LeadMagic's day-to-day accounting and financial operations. This is a doer role. You'll be the person actually getting the work done — closing the books, running payroll, reconciling accounts, chasing down discrepancies, and building the reports — not someone who reviews other people's work or hands it off. It's not a strategy-only seat, and it's not a bookkeeping seat with no business influence. You'll be the internal owner of the finance function: the person who closes the books, runs payroll, reconciles accounts, builds the reports, and makes sure the numbers are right. You'll move between detailed accounting work and higher-level analysis, and you'll be comfortable owning both. One day you might run payroll, reconcile a payout, or dig into a deferred revenue question. The next, you might model the margin impact of a pricing change or a new hire. There's no one else on the finance team to hand details to — you are the finance function, and this role is built for someone who wants to own it end to end. We also use AI tools throughout the business — including in finance and accounting workflows — to close faster, catch anomalies sooner, and spend less time on manual reconciliation. Comfort working alongside AI-assisted tooling (or interest in building it) is a plus. What You'll Own Accounting and monthly close Own and personally run the monthly close from start to finish, including transaction coding, account reconciliations, accruals, prepaid expenses, payroll journal entries, deferred revenue, COGS, and management review. Run payroll and related entries in Gusto, and reconcile payroll, taxes, and benefits back to the general ledger each period. Maintain accurate books in QuickBooks Online or a comparable accounting system. Produce a timely monthly P&L, Balance Sheet, and Cash Flow Statement, along with a concise explanation of material changes. Maintain a documented close checklist, accounting policies, and supporting schedules so the numbers are repeatable and defensible. Revenue recognition and billing integrity Own the revenue-recognition process for monthly and annual subscriptions, prepaid credit packages, usage-based charges, overages, refunds, and contract modifications. Build and maintain deferred revenue and credit-liability schedules, including the treatment of consumed, unused, expired, refunded, or promotional credits, in coordination with our CPA. Reconcile our payment processor, bank deposits, invoices, credit memos, refunds, disputes, and our internal credit ledger and usage data. Ensure contracted pricing, amounts billed, cash collected, credits granted, and services delivered stay in agreement, and resolve any items that don't. Usage economics and pricing analysis Track revenue, direct costs, credit consumption, and gross margin by product, customer segment, and cohort. Safeguard gross margin by monitoring credit grants, pricing accuracy, overage billing, refunds, disputes, and usage patterns, and flag anything that needs attention. Model pricing and packaging changes before launch, then compare actual results with the original assumptions. Help the founder understand the financial tradeoffs behind enterprise contracts, annual prepayments, custom pricing, and new product launches. Budgeting, forecasting, and cash management Build and maintain an annual operating budget and a rolling 12-month forecast. Report actual performance against budget and forecast each month, explaining meaningful variances and updating assumptions. Maintain a weekly cash-position and short-term cash forecast covering receipts, payroll, vendor obligations, taxes, and major planned spending. Support headcount planning, vendor negotiations, and capital-allocation decisions with clear scenario models. Own accounts receivable follow-up, collections visibility, and AR aging. Coordinate dunning and billing corrections with the appropriate internal or external partners. SaaS reporting Maintain a weekly management dashboard covering MRR, ARR, new business, expansion, contraction, logo and revenue churn, GRR, NRR, gross margin, cash, AR aging, and forecast performance. Track the operating metrics that matter for our business model, such as paid versus promotional credit usage, credit utilization, unconsumed credit balances, usage by product, and gross margin by product. Establish clear metric definitions and reconcile management reporting to the underlying accounting and billing systems. Tax, compliance, and external partners Manage the working relationship with our tax CPA, fractional finance resources, and other outside specialists — while owning the underlying work yourself, not just coordinating it. Run payroll, contractor payments, benefits administration, and onboarding/offboarding in Gusto, and keep it reconciled to the books. Prepare clean year-end schedules and supporting documentation for tax filings and any financial review or audit work. Manage W-9 collection, 1099 preparation (including Gusto contractor 1099s), contractor compliance, and other routine finance operations — hands‑on. Monitor multi‑state sales‑tax nexus and coordinate registrations and filings with outside advisors. Support R&D tax credit work and Section 174 capitalization analysis when applicable. Implement practical internal controls and approval processes appropriate for a lean, founder‑led company. What We're Looking For 5+ years of progressive accounting or finance experience, including at least 2 years in SaaS, software, or another recurring‑revenue technology business. Direct, hands‑on ownership of a monthly close. You've prepared and run the books yourself, not only reviewed or audited someone else's work. Strong working knowledge of U.S. GAAP, ASC 606, deferred revenue, accrual accounting, and subscription revenue. Experience with usage‑based, metered, prepaid credit, or other consumption‑based billing is strongly preferred. Hands‑on experience with QuickBooks Online (or a comparable system), Gusto for payroll and benefits, a modern payment processor, and advanced financial modeling in Google Sheets or Excel. Comfortable running payroll and contractor payments yourself, including the tax, benefits, and 1099 details that come with it. Ability to reconcile accounting records with operational data from billing systems, product databases, or a data warehouse. Strong understanding of SaaS economics, including CAC, LTV, payback period, gross margin, churn, GRR, NRR, and cohort analysis. Experience managing external CPAs, tax advisors, or fractional finance partners while remaining accountable for the underlying work. Clear written communication and the ability to explain financial issues without unnecessary jargon. Self‑directed, detail‑oriented, and genuinely a doer — you'll be the only internal finance person, so you'll build the process, do the work, and own the output. Located within commuting distance of Greater Boston and available for in‑person meetings approximately 1–2 times per month. CPA licensure is preferred but not required for candidates with strong SaaS accounting and controller‑level experience. Nice to Have Experience with subscription billing platforms, including subscriptions, invoicing, annual contracts, metered usage, credits, overages, refunds, and disputes. Familiarity with SQL or analytics/data‑warehouse tools. Curiosity about applying AI or automation to finance workflows anomaly detection in reconciliations, AI‑assisted reporting, or similar. Experience at a capital‑efficient or profitable SaaS company where cash discipline and margin matter. Experience with multi‑currency or international SaaS billing. Exposure to SaaS sales‑tax compliance, R&D tax credits, and Section 174 capitalization. Experience supporting enterprise contracts with custom pricing, minimum commitments, or usage overages.
