Project Coordinator

The Project Coordinator reports directly to the Project Manager and will provide support by executing and delivering on an advanced range of responsibilities. These tasks include providing quotes, ordering material, handling customer inquiries and complaints as well as contacting customers and/or vendors to ensure the timely completion of jobs. This role requires exceptional verbal communication and documentation skills.RESPONSABILITIESHandling vendor and client quotesOrdering the materials needed to complete a work order.Schedule and dispatch multiple technicians, in multiple trades to appropriate locations, according to customer requests, specifications, or needs, using text, email and or office telephones.Handling customer inquiries and complaintsAct on all incoming faxes.Adhere to timelines and schedules.Verifying field technicians scheduled the time and date of the work.Locate, qualify, and recruit vendors in response to our client needs.Arrange for necessary repairs to restore service and schedules.Forecast workload for 2-3 days out if possible.Handle customer inquiries and complaintsUpdate customer web-based portals.Provide information about services offered.Schedule customers during specific timeframesRelay work orders, messages, or information to and/or from technicians and supervisors.Enter accurate and complete notes in the system regarding correspondence with customers and subcontractors.Record and maintain files or records of customer requests, work or services performed, charges, expenses, inventory, or other dispatch.Other duties assigned.EducationHigh school diploma or GED required.Associate degree in Construction Management, Building Construction, Engineering Technology, Business Administration, Project Management, or a related field preferredQualificationsMinimum of 2 years of experience as a Construction Project Coordinator, Project Administrator, Project Engineer, Assistant Project Manager, or in a similar construction support role.Experience coordinating commercial, residential, industrial, or facility maintenance construction projects from initiation through closeout.Knowledge of construction processes, project scheduling, budgeting, procurement, subcontractor coordination, and project documentation.Experience tracking project timelines, work orders, change orders, RFIs (Requests for Information), submittals, permits, and project deliverables.Ability to coordinate with project managers, superintendents, subcontractors, vendors, inspectors, and clients to ensure projects remain on schedule and within budget.Strong understanding of OSHA safety standards and construction industry best practices.Experience maintaining accurate project records, contracts, purchase orders, invoices, and progress reports.Proficient in Microsoft Office Suite (Excel, Word, Outlook, and PowerPoint).Experience with one or more construction management platforms such as Procore, Autodesk Construction Cloud (Build), Buildertrend, CMiC, PlanGrid, Viewpoint, Bluebeam, or similar project management software.Preferred Qualifications:Associate's or Bachelor's degree in Construction Management, Engineering, Business Administration, Architecture, or a related field (or equivalent combination of education and experience).Experience in facility maintenance, commercial construction, capital improvement, or multi-site construction projects.OSHA 10 or OSHA 30 Certification preferred.CAPM (Certified Associate in Project Management), PMP, or Construction Management certification is a plus. #J-18808-Ljbffr All American Facility Maintenance Inc
