Summary/Objective TheProjectCoordinatorprovidesadministrativeandprojectsupportforconstructionoperations,ensuringprojectsareorganized,compliant,andcompletedefficientlyfrominitiationthroughcloseout.Thisroleservesasaprimarypointofcontactforofficecommunications,supportsprojectdocumentationandbillingprocesses,coordinatescloseoutrequirements,andassistswithmarketingandproposalefforts. Takeownershipofassignedresponsibilitiesandfollowthroughtocompletionwithminimalsupervision. ProjectCoordinator: Answeranddirectincomingphonecallsandgreetclients,vendors,subcontractors,andvisitors. SupportProjectManagersandOperationsstaffwithdailyadministrativeandprojectcoordinationtasks. Coordinateprojectcloseoutactivities,includingcompilationanddeliveryofOperations&Maintenance(O&M)manuals,warranties,andcloseoutpackages. PrepareandsubmitWH-5formsandotherproject-relatedcompliancedocuments. CoordinateandassistwithsubcontractorbillingprocessesinProcore. FollowupwithsubcontractorsandvendorsonoutstandingProcorecomplianceitems,includinginsurance,lienwaivers,andrequiredcontractdocumentation,toensuretimelycompletionandcompliancefollowingcontractexecution. Maintainaccurateprojectrecordsandensuredocumentationiscurrentandproperlyarchived. Uploadplans,Specs,andprojectdocumentstoProcore. SupportbusinessdevelopmentandmarketinginitiativesbycreatingandeditingStatementsofQualifications(SOQs),proposals,presentations,andmarketingmaterialsusingCanvaandothersoftwaretools. Assistwithdataentry,reportgeneration,andadministrativesupportforongoingprojects. Assistwithbiddayactivitiesbycoordinatingsubcontractorcommunications,trackingquotes,printingandorganizingplansandspecifications,andsupportingthetimelysubmissionofbidsandproposals. Print,distribute,andmaintainconstructionplans. Ensureconfidentialityandprofessionalisminallinteractionsandcommunications. SupervisoryResponsibility Thispositionhasnosupervisoryresponsibility. WorkEnvironment Thisrolewillbelocatedinthecorporateoffice.Onoccasion,constructionjob-sitevisitswillberequired. PhysicalDemands Thephysicaldemandsdescribedherearerepresentativeofthosethatmustbemetbyanemployeetosuccessfullyperformtheessentialfunctionsofthisjob. Mustbeabletoremaininastationarypositionforextendedperiods,suchassittingatadesk. Operateacomputerandotherofficeproductivitymachinerysuchasacalculator,copymachine,andprinter. Occasionallyliftandcarryparcels,packages,andotheritemsupto25pounds. PositionTypeandExpectedHoursofWork Thisisfull-time.Employeeisexpectedtowork40hoursperworkweek.Eventsmayoccurduringeveningsandweekends. RequiredEducationandExperience Familiaritywithlienlaws,insurancerequirements,andcompliancetracking ProficiencyinMicrosoftOffice(Excel,Word,Outlook);experiencewithProcore,Docusign,orotherconstruction/documentmanagementsoftware Highschooldiplomaorequivalentrequired;associatedegreeorrelatedcourseworkpreferred. Previousexperienceinconstructionadministration,projectcoordination,officeadministration,orarelatedfieldpreferred. Familiaritywithconstructionprojectdocumentation,billingprocesses,andprojectcloseoutprocedures. ExperiencewithCanva,proposaldevelopment,ormarketingsupportisaplus. Strongorganizational,communication,andmultitaskingskills. Abilitytomanagemultipleprioritiesanddeadlinesinafast-pacedenvironment. Detail-orientedwithexcellentproblem-solvingabilities.
