As the Client Services Coordinator , you’ll be the first point of contact for prospective and existing clients—the friendly, capable voice who makes everything feel easy and organized. You’ll manage the firm’s client pipeline, coordinate appointments for multiple attorneys and staff, communicate with clients, and ensure that every detail of their journey is handled with care. This position also includes traditional executive support: helping the Owner/Attorney stay focused on the things that matter most.

Compensation:

$21 - $25 hourly

Responsibilities:

Be an Important Part of the Client Experience

• Serve as the first point of contact, whether in person or on the phone, for all new inquiries—responding warmly, clearly, and promptly

• Schedule and confirm client meetings, consultations, and follow-ups

• Conduct initial intake calls and qualify prospective clients before scheduling with the attorney

• Administrative and document support, including preparation and maintenance of physical client folders and digital files

• Maintain CRM, identify gaps or delays in the client journey, and proactively resolve them

Be the Right Hand of the Owner/Attorney

• Manage and coordinate multiple attorney, staff, and shared calendars

• Schedule client appointments, meetings, calls, and firm commitments

• Coordinate conference room and meeting logistics

• Identify and solve scheduling conflicts before they become problems

• Keep track of commitments, follow-ups, and important deadlines

Qualifications:

• 2+ years of experience in client service, administrative support, or a coordination role

• Proficiency in Microsoft Office Suite

• Experience with CRM and other legal software such as Clio, Lawmatics, or Decision Vault is a plus

• Excellent written and verbal communication skills

• Strong organization and follow-through abilities

• Comfortable working independently and as part of a small team
