Dispatch Coordinator / Delivery Confirmer:

The Dispatch Coordinator / Delivery Confirmer supports daily transportation and delivery operations by confirming customer deliveries, coordinating driver communication, monitoring routes, and maintaining accurate delivery information. This position requires strong customer-service skills, clear communication, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

The ideal candidate will communicate professionally with customers, drivers, and internal teams to ensure deliveries are confirmed, scheduled accurately, and completed on time. This role also provides general dispatch and administrative support to help maintain efficient daily operations.

Key Responsibilities:

• Contact customers by phone, email, text, or other approved communication methods to confirm delivery appointments, delivery windows, addresses, and special instructions.
• Manage incoming and outgoing calls in a professional, timely, and customer-focused manner.
• Provide customers with accurate delivery updates, estimated arrival times, appointment information, and delivery confirmations.
• Coordinate daily delivery schedules, appointments, route changes, and customer requests with drivers and dispatch personnel.
• Monitor driver routes and delivery progress throughout the day; identify and communicate delays, missed appointments, and delivery exceptions.
• Maintain clear communication with drivers regarding customer instructions, address corrections, gate codes, contact information, and delivery requirements.
• Enter, update, and maintain accurate customer, appointment, route, and delivery-status information in company systems.
• Assist with rescheduling deliveries, coordinating customer callbacks, and resolving appointment or service concerns.
• Document delivery exceptions, refused deliveries, failed deliveries, damages, customer complaints, and other service-related issues.
• Provide excellent customer service by addressing questions, concerns, and delivery-related requests promptly and professionally.
• Prepare daily delivery confirmations, dispatch reports, route summaries, and other operational documentation as needed.
• Work closely with drivers, warehouse staff, office personnel, and management to support on-time and successful deliveries.
• Maintain organization, accuracy, professionalism, and confidentiality in all customer and company communications.
• Perform additional dispatch, delivery-confirmation, and administrative duties as assigned.

Preferred Qualifications:

• Previous experience in dispatch, transportation, home delivery, customer service, call-center support, or office administration is preferred.
• Strong verbal and written communication skills.
• Excellent customer service, problem-solving, and follow-up skills.
• Ability to multitask, prioritize urgent issues, and work effectively in a fast-paced environment.
• Strong attention to detail and accuracy when entering information and confirming appointments.
• Comfortable using computers, email, Microsoft Office, spreadsheets, and dispatch or delivery-management systems.
• Bilingual in English and Spanish is preferred.
