Assistant Director

Key Responsibilities Review and process applications in all DOHMH license applications and all relevant information; Manage the day to day operations of the Intake unit; Act as a liaison for DoHMH and any other agencies or associates as required to fulfill licensing requirements; Supervise staff, including tracking and assigning tasks, to ensure productivity and effectiveness, conducting training and providing guidance; Develop, document and implement internal systems, policies, and procedures that help to organize and guide the division’s work and operations, document database issues, and improve overall performance; Perform ordinary mathematical computations while accepting and processing payments, completing close outs, and other tasks as assigned; Check records for accuracy of information and for conformity with established policy and procedures; Back up other supervisors and units as directed; Conduct complex system searches, reviewing documentation for accuracy, data entry and quality assurance for both their own work and over the work of the unit; Assess staff performance accurately and providing feedback to motivate and/or improve performance levels; Assist applicants with outreach to other city agencies, as well as interagency communication to help resolve issues pertaining to their license; Answer telephone calls, emails and written correspondence and communicate applicant information; Attend seminars, meetings and/or trainings; Follow all division and agency policies and procedures; Perform all relevant and related Licensing tasks as assigned when needed. PRINCIPAL ADMINISTRATIVE ASSOC - 10124 Minimum Qualifications A baccalaureate degree from an accredited college and three years of satisfactory full-time progressively responsible clerical/administrative experience, one year of which must have been in an administrative capacity or supervising staff performing clerical/administrative work of more than moderate difficulty; An associate degree or 60 semester credits from an accredited college and four years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience described in "1" above; A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and five years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience as described in "1" above; Education and/or experience equivalent to "1", "2", or "3" above. However, all candidates must possess the one year of administrative or supervisory experience as described in "1" above. Education above the high school level may be substituted for the general clerical/administrative experience (but not for the one year of administrative or supervisory experience described in "1" above) at a rate of 30 semester credits from an accredited college for 6 months of experience up to a maximum of 3½ years. Preferred Skills Management experience with demonstrated ability to develop and motivate staff with both goal-oriented and team-oriented approaches; Strong organizational and analytical skills; Experience in budgeting, purchasing, administrative management, or technological record or project management; Experience in training, developing protocols and policies, and assessing operational efficiency; Attention to detail, excel in time management and project follow through; Excellent written, oral, and interpersonal skills; Proficiency in Microsoft Word, Excel, Outlook, and PowerPoint. 55a Program This position is also open to qualified persons with a disability who are eligible for the 55-a Program.
