Position Overview


The Legal Operations Specialist provides comprehensive legal assistance and supports a broad and evolving range of corporate legal functions for the Legal Department and cross-functional business teams.


This position serves as a key liaison between in-house counsel, outside counsel, external organizations, and internal employees . The ideal candidate will be a flexible, solutions-oriented professional capable of supporting commercial transactions, contract administration, corporate records, intellectual property matters, and legal operations and workflows .


Key Responsibilities

Contract & Commercial Support

• Assist attorneys with drafting, assembling, reviewing, proofreading, and editing contracts, legal agreements, and supporting documentation.
• Support the full lifecycle of commercial contracts.
• Track contract execution and maintain executed copies.
• Coordinate and collect required signatures.
• Organize and maintain contracts and related documentation within the document management system.
• Partner with internal commercial teams to ensure stakeholders understand contract terms, requirements, and status.
• Maintain accurate and organized corporate and legal records.

Legal Operations & Process Improvement

• Evaluate existing legal processes and identify workflow gaps, redundancies, and opportunities for improvement.
• Support initiatives designed to streamline processes, improve efficiency, and reduce costs.
• Assist with evaluating, developing, and scaling legal tools, workflows, templates, and contract playbooks.
• Support legal technology initiatives and vendor evaluations.
• Manage legal billing, invoicing, and budget tracking.
• Assist with cross-functional legal projects and ad-hoc requests.

Legal Intake & Matter Management

• Serve as the primary intake specialist for new legal requests.
• Gather and organize required documentation for new matters.
• Manage multiple legal matters and requests simultaneously.
• Coordinate schedules and logistics for meetings.
• Communicate with internal stakeholders, outside counsel, and external organizations as needed.

Intellectual Property & Legal Research

• Review incoming patent correspondence.
• Maintain the internal patent docketing database.
• Track and help ensure critical intellectual property deadlines are met.
• Conduct project-based legal research at the direction of corporate counsel.
• Prepare and file legal documentation with appropriate regulatory and government entities.

Required Qualifications

• 3+ years of experience in a legal or corporate environment.
• Experience working cross-functionally with stakeholders across areas such as Legal, Finance, Technology, IT, Engineering, and other business functions.
• Foundational knowledge of contracting principles and legal requirements.
• Experience supporting contracts, legal documentation, or related corporate legal activities.
• Strong organizational skills with excellent attention to detail.
• Ability to independently manage multiple competing priorities in a fast-paced environment.
• Strong verbal and written communication skills.
• High proficiency in grammar, composition, proofreading, and legal documentation.
• Strong analytical, problem-solving, and decision-making skills.
• Ability to exercise sound judgment and appropriately escalate issues when necessary.
• Demonstrated ability to handle sensitive and confidential information with strict discretion.
