Operations SpecialistThe Operations Specialist is essential for ensuring that day-to-day operations are executed efficiently, records are kept accurate, and compliance standards are met, all while supporting the team in resolving operational challenges, driving process improvements, and liaising with corporate team.Essential FunctionsAssist with calls from clients, brokers, and companiesCollect and process paymentsReview and issue urgent or complex certificates of insuranceHandle Broker of Record lettersPrepare and provide finance quotes and finance agreements for clientsIssue necessary cancellationsHandle accounting discrepancies (commissions, broker fee, taxes, etc.) and accounting questionsCreate Notice of Cancellation letters (Acct)AP & AR - Review & manage Aging in conjunction with corporate accounting teamCollections / E.P. follow up & request associated write offsReview new agencies and set up in agency databaseEvaluate agency mergers & acquisitions for changes needed and then implementAssist with state form review and special Compliance projectsInspection ordering, review, evaluation, recommendation letters, follow ups and compliance checking for clientsProvide weekly reports for OperationsBack up to other Operations Specialist tasks, as neededPerform other duties as assignedCompetencies to be expected within 3-6 monthsUnderstand PPIB Office Workflows and ProcessesUnderstand Overview of PPIB ProgramsRequirements:Strong, demonstrable skills in Excel, Word, Adobe, and similar programs3-5 years minimum in office environmentInsurance experience preferred, but not requiredExperience with accounting functions, including AR & APPassion for details and accuracyStrong logical and critical thinkingProblem solving skills/enjoys puzzlesExcellent organizational and time management abilitiesFlexible with change and juggling prioritiesManage multiple tasks at onceOther Duties Please note this job description is not designed to cover or contain a comprehensive listing of activities, duties or responsibilities that are required of the employee for this job.
