Project Coordinator - Entry Level

Job Description Mission of the Role The Project Coordinator is responsible for delivering projects on time and on budget to Accellis customers. The Project Coordinator will manage the scheduling of project engineers, meetings, and assist with communication to ensure the seamless execution of project plans. Primary Responsibilities Assist in Developing Project Plans: Help improve detailed project plans, outlining project goals, timelines, and resource requirements. Support the identification of necessary resources and assist in the allocation process. Coordinate Schedules: Arrange and coordinate the schedules of project team members, including project engineers. Ensure that all team members are aware of their tasks and deadlines. Organize and Debrief Meetings: Schedule and organize meetings for the Project Manager with clients, vendors, and internal team members. Prepare meeting agendas. Review Co-Pilot minutes and ensure that action items are followed up on. Maintain Project Documentation: Keep accurate records of all project‑related documents, including plans, schedules, meeting minutes, and progress reports. Ensure that all documentation is up-to-date and accessible to relevant stakeholders. Communicate with Stakeholders: Provide regular updates to clients and stakeholders on project progress. Send daily email updates to clients regarding completed tasks and upcoming activities. Confirm upcoming meetings and ensure that all participants are informed and prepared. Update stakeholders on budget to actual. Alert Project Manager of any project at risk of exceeding budget. Track Project Progress: Monitor project progress and assist in the preparation of status reports. Help identify and communicate any potential issues or risks to the Project Manager. Track all Project Coordination time to project and maintain regular utilization of 75%. Support Risk Management: Assist in identifying project risks and developing mitigation strategies. Ensure that any identified risks are communicated to the Project Manager and relevant stakeholders. Facilitate Team Collaboration: Support effective communication and collaboration among project team members. Ensure that team members have the information and resources they need to complete their tasks. Maintain Client Satisfaction: Strive to enhance client satisfaction by ensuring that their needs and expectations are met. Address any client concerns promptly and escalate issues, as necessary. Administrative Support: Provide general administrative support to the Project Manager and project team. Handle tasks such as data entry, filing, and managing correspondence. Additional Responsibilities Improve client perception and satisfaction. Strive to enhance the client's experience through effective project coordination and communication. Ability to lead a team and communicate effectively in the absence of the PM. Lead and coordinate project team activities as a backup to PM. Facilitate clear and concise communication among team members and stakeholders when PM is out. Escalate project issues that cannot be completed within agreed service levels. Identify and elevate issues that may impact project deliverables or timelines. Work with relevant parties to resolve escalated issues promptly. Maintain specific knowledge of the client and how our services and products relate to their business. Develop an in-depth understanding of the client's business and needs. Align Accellis services and products with client requirements to deliver value. Required Qualifications Bachelor's degree in business administration, Project Management, or a related field. Minimum of 1 year of experience in project coordination or management. Proficiency with project management tools such as ConnectWise. Excellent communication and organizational skills. Strong problem‑solving and multitasking abilities. Desired Skills Experience in the IT or service delivery industry. Ability to work under pressure and meet tight deadlines.
