Practice Administrator – Pain Management

Location: Leesburg, Florida

Position Summary

An established and growing interventional pain management practice in Leesburg, Florida is seeking an experienced Practice Administrator to oversee the day-to-day operations of a busy outpatient clinic. The ideal candidate will have a strong background in physician practice management, preferably within pain management, orthopedics, PM&R, neurology, spine, or procedural specialties, and possess advanced knowledge of eClinicalWorks (eCW).

This leadership role is responsible for ensuring operational excellence, financial performance, regulatory compliance, staff development, patient satisfaction, and physician support while helping the practice continue its growth and expansion.

Key Responsibilities

• Manage all daily clinic operations and administrative functions.
• Oversee front office, clinical support staff, billing, scheduling, referrals, and patient flow.
• Serve as the primary liaison between physicians, staff, vendors, and external business partners.
• Optimize practice workflows and operational efficiency using eClinicalWorks (eCW).
• Monitor provider schedules, patient volumes, productivity, and operational metrics.
• Collaborate with physicians to improve patient access, patient satisfaction, and overall clinic performance.
• Oversee revenue cycle operations, including charge capture, coding, collections, denials management, and accounts receivable performance.
• Ensure compliance with HIPAA, OSHA, Medicare, and state regulatory requirements.
• Develop and implement policies, procedures, and best practices.
• Recruit, train, mentor, and evaluate staff members.
• Manage vendor relationships, contracts, purchasing, and facility operations.
• Prepare and analyze financial and operational reports, budgets, and key performance indicators.
• Support growth initiatives, new service lines, and practice expansion efforts.

Qualifications

• Bachelor's degree in Healthcare Administration, Business Administration, or related field preferred.
• Minimum 5 years of physician practice management experience.
• Previous experience managing a pain management, PM&R, orthopedic, spine, neurology, or procedural medical practice strongly preferred.
• Advanced working knowledge of eClinicalWorks (eCW) required.
• Strong understanding of physician practice operations, medical billing, coding, and revenue cycle management.
• Experience managing teams of clinical and administrative staff.
• Knowledge of Medicare, commercial insurance, prior authorizations, and referral processes.
• Excellent leadership, communication, organizational, and problem-solving skills.
• Ability to work independently while partnering closely with physician leadership.

Preferred Experience

• Interventional pain management practice operations.
• Procedure scheduling and coordination.
• Ancillary services management (EMG/NCS, injections, imaging, physical therapy, DME, or related services).
• Multi-site clinic management experience.
• Practice growth and business development initiatives.
