About Macchinisti Macchinisti is an Austin-based espresso and coffee equipment sales and service company. We work with coffee shops, restaurants, hotels, and other hospitality businesses throughout the Austin area, providing equipment sales, installation, preventative maintenance, repair, and technical support. The Role The Service Coordinator & Dispatcher is at the center of our service operation, coordinating technicians, customers, schedules, and the preparation needed to keep each day running smoothly. A key responsibility of this position is building efficient technician schedules based on geography, drive time, job duration, urgency, and technician capabilities. This requires someone who can manage what’s happening today while also looking ahead, anticipating needs, and keeping the bigger picture in mind. What You’ll Do Schedule and dispatch field service technicians using Service Fusion. Build efficient schedules that minimize unnecessary drive time and downtime and make productive use of each technician’s day. Monitor schedules throughout the day and adjust as jobs run long, finish early, cancel, or priorities change. Communicate regularly with technicians and coordinate changing priorities. Answer customer phone calls, emails, texts, and voicemails and provide friendly, professional customer service. Schedule service calls and maintain accurate customer and job information. Look ahead on the service calendar to identify scheduling conflicts, inefficient routing, missing information, and other potential issues before they become problems. Coordinate with the Lead Technician to make sure necessary parts, equipment, and materials are available for upcoming work. Coordinate preparation for installations, rentals, equipment pickups and deliveries, and other scheduled work. Assist with invoicing, purchase orders, Preventative Maintenance scheduling, and other service-related administrative tasks. Preferred Experience Experience in field service dispatching, service coordination, logistics, scheduling, or a technical service business is a plus. Experience with Service Fusion or similar field-service management software is also helpful. Coffee or specialty coffee industry experience is a plus, but not required.
