Purchasing Specialist

Location Haltom City, TX | Onsite

Compensation & Schedule

• $25.00–$27.00 per hour

• Monday–Friday, 8:00 AM–5:00 PM with occasional overtime

• Full-time, W2 employment

• Start date: ASAP

Role Impact

This is a purchasing-first role that directly supports daily lab and technician operations. The Purchasing & AP/AR Specialist is responsible for sourcing materials, issuing purchase orders, tracking deliveries, and ensuring vendor accuracy from order through invoice verification. Success in this position means strong vendor coordination, proactive follow-up, and the ability to identify and resolve issues quickly so equipment and supplies are never delayed.

Job Duties

• Create and issue purchase orders for calibration equipment, spare parts, and laboratory supplies based on technician and operational needs

• Source vendors, compare pricing, and negotiate terms when appropriate

• Track open purchase orders and follow up with vendors to ensure on-time delivery

• Perform 3-way matching between purchase orders, invoices, and receiving documents to verify accuracy before payment

• Maintain accurate purchasing records and vendor documentation in Microsoft Dynamics 365 (D365), NAV, or Business Central

• Communicate with vendors regarding discrepancies, backorders, pricing issues, or delivery delays

• Review invoices to confirm what is due and ensure proper coding prior to payment release

• Support light accounts receivable follow-up by contacting customers to determine what is holding up payment and securing confirmed pay dates

• Assist with basic month-end reconciliation and organized audit documentation

Minimum Qualifications

• 3–5+ years of hands-on purchasing experience with PO creation and vendor coordination

• Experience supporting AP/AR functions, including invoice review and reconciliation

• Proficiency in Microsoft D365, NAV, or Business Central and strong Excel skills

Preferred Skills

• Experience in technical services, manufacturing, construction, or operational environments

• Familiarity with ISO/IEC 17025 documentation standards

• Strong phone communication skills with the ability to professionally follow up on outstanding issues
