Assistant Project Manager – Data Center HVAC  

The Assistant Project Manager will report directly to and provide dedicated support to the Senior Project Manager in the successful execution of commercial HVAC projects within the mission-critical data center market. This position requires a highly organized, detail-oriented professional with a strong understanding of HVAC construction, quality assurance and quality control (QA/QC), field documentation, and project coordination.

Working under the direction of the Senior Project Manager, the Assistant Project Manager will support daily project operations, conduct jobsite inspections, maintain accurate project records, coordinate with field personnel and project stakeholders, and ensure all work is documented in accordance with customer expectations, project specifications, and established quality standards.

The ideal candidate will demonstrate strong communication skills, a proactive approach to problem-solving, exceptional organizational abilities, and the ability to work effectively in demanding data center construction environments.

Key Responsibilities  

1. Senior Project Manager Support  

• Report directly to and provide daily operational and administrative support to the Senior Project Manager. 
• Execute assigned responsibilities and follow project priorities, procedures, and direction established by the Senior Project Manager. 

• Provide timely updates regarding jobsite progress, quality concerns, documentation status, outstanding tasks, and potential schedule impacts.

• Assist with coordinating field activities, monitoring project requirements, and maintaining accountability for assigned action items.

• Proactively identify issues requiring the Senior Project Manager’s attention and communicate them promptly.

• Maintain alignment between field activities, project documentation, customer expectations, and overall project objectives. 

2. Quality Assurance and Quality Control (QA/QC)  

• Perform daily jobsite inspections to verify HVAC installations comply with approved drawings, specifications, project requirements, and established quality standards. 

• Identify, document, and communicate deficiencies, installation issues, and potential quality concerns. 

• Monitor corrective actions and follow up to verify deficiencies are resolved and properly documented. 

• Maintain accurate inspection records, quality documentation, and supporting photographs.

• Ensure all work is completed and documented in accordance with customer expectations and project-specific QA/QC requirements. 

• Support quality control processes throughout all phases of HVAC installation and commissioning preparation. 

3. Task Documentation and CX Alloy Management  

• Document, log, and track daily construction activities, completed tasks, inspections, deficiencies, and outstanding items within CX Alloy. 

• Maintain accurate, timely, and complete task records that reflect actual field conditions and project progress. 

• Upload and organize photographs, inspection records, and supporting documentation as required. 

• Track task status through completion and ensure documentation meets customer-specific requirements. 

• Maintain accountability for the accuracy and completeness of all project records. 

• Proactively identify missing documentation, overdue items, and incomplete task logs. 

4. Procore and Project Documentation  

• Maintain proficiency in Procore and ensure project documentation remains current and organized. 

• Review and track RFIs, submittals, drawings, punch lists, observations, and other applicable project records. 

• Assist with maintaining current drawing sets and communicating revisions to appropriate field personnel. 

• Support the preparation and maintenance of daily reports, inspection logs, meeting notes, and other project documentation. 

• Coordinate documentation requirements between field operations, project management, general contractors, and customer representatives. 

5. Jobsite Coordination and Meetings  

• Attend daily coordination meetings, safety meetings, quality meetings, and other required project meetings. 

• Communicate field progress, quality concerns, schedule impacts, and outstanding items to the Senior Project Manager. 

• Assist in coordinating work activities with HVAC installation teams, other trades, general contractors, and customer representatives. 

• Record meeting minutes, assigned action items, responsible parties, and required completion dates as applicable. 

• Follow up on commitments and outstanding items to support project schedule and execution requirements. 

6. Communication and Reporting  

• Maintain consistent, professional, and proactive communication with the Senior Project Manager, field supervisors, general contractors, customers, and other stakeholders. 

• Communicate issues promptly, providing clear descriptions, supporting documentation, photographs, and recommended next steps when appropriate. 

• Escalate quality concerns, schedule risks, documentation gaps, and unresolved field issues without unnecessary delay. 

• Ensure customer requests and documentation requirements are understood, tracked, and addressed. 

• Represent the company professionally in all customer and jobsite interactions. 

7. Organization and Administrative Support  

• Maintain a high level of organization across daily assignments, inspection schedules, task logs, and project documentation. 

• Proficiently use Microsoft Office applications, including Excel, Word, Outlook, and Teams, for reporting, communication, tracking, and recordkeeping. 

• Manage competing priorities while maintaining accuracy, timeliness, and attention to detail. 

• Assist the Senior Project Manager with progress tracking, documentation audits, closeout records, and other administrative duties as assigned. 

• Take ownership of assigned responsibilities and ensure tasks are followed through to completion. 

Qualifications and Requirements  

• Minimum of four (4) years of trade-related experience in commercial HVAC, mechanical construction, piping, or a related construction discipline. 

• College degree preferred; relevant field experience and demonstrated technical competency are highly valued. 

• Working knowledge of commercial HVAC installation practices, construction documentation, and jobsite quality & safety requirements. 

• Experience with or the ability to quickly develop proficiency in CX Alloy and Procore. 

• Proficiency in Microsoft Office applications, particularly Excel, Word, Outlook, and Teams. 

• Strong written and verbal communication skills.

• Exceptional organizational skills and attention to detail. 

• Ability to identify deficiencies, maintain accurate records, and follow tasks through resolution. 

• Ability to work independently while providing effective support to the Senior Project Manager and field operations. 

• Professional attitude with a strong commitment to accountability, quality, safety, and customer satisfaction. 

• Willingness and ability to travel to and work at data center construction sites as project requirements dictate. 

• Valid driver’s license. 

• Ability to pass a background check as required for site access.  

Physical and Environmental Requirements  

This position requires working in active data center construction environments that may be austere, unfinished, congested, and subject to changing weather and site conditions.

The employee must be able to:

• Sit, stand, walk, and move throughout the jobsite for extended periods as required.
• Navigate active construction areas, including uneven surfaces, stairs, and other typical jobsite conditions.
• Work in both hot and cold environments, including areas without fully conditioned indoor spaces.
• Ability to work within a job trailer.
• Perform routine field inspections and access designated work areas in accordance with site safety requirements.
• Attend meetings, conduct inspections, review installations, and complete documentation throughout the workday.
• Comply with all applicable company safety policies, customer site requirements, and personal protective equipment requirements.

Success in this position will be measured by the employee’s ability to support the Senior Project Manager, maintain accurate and complete documentation, conduct consistent daily inspections, identify and communicate quality concerns, maintain current CS Alloy and Procore records, and support effective coordination between field personnel, project management, and customers. 

The Assistant Project Manager is expected to demonstrate ownership of assigned responsibilities, maintain a high level of organization, communicate proactively, and ensure that every task is documented thoroughly, accurately, and in accordance with customer expectations.
