Maintenance Manager

General Description
The Maintenance Manager is responsible for planning, coordinating, and supervising all maintenance operations to ensure facilities, equipment, and grounds are safe, reliable, and efficiently maintained. Reporting directly to the Director of Facilities, this role leads maintenance staff, manages contractor services, and oversees the implementation and ongoing administration of the work order and asset management system. A core focus of the position is scheduling and managing work to optimize staff efficiency, minimize downtime, and support organizational operations.

Principal Duties and Responsibilities
Maintenance Operations & Work Order Management

• Lead the implementation, configuration, and ongoing administration of the computerized maintenance management system (CMMS).
• Develop, standardize, and enforce work order processes, including preventive maintenance, corrective maintenance, and emergency requests.
• Plan, issue, track, and close work orders to ensure timely and high-quality completion of assigned tasks.
• Analyze work order data, labor utilization, and asset performance to identify trends, improve reliability, and drive continuous improvement.

Scheduling & Staff Efficiency

• Schedule and coordinate daily, weekly, and long-term maintenance work to maximize staff productivity and operational efficiency.
• Balance preventive, predictive, and reactive maintenance activities to reduce unplanned downtime.
• Assign work based on skillsets, workload, and operational priorities.
• Monitor labor hours, backlog, and response times; adjust staffing plans as needed.

Supervision & Leadership

• Supervise, coach, and evaluate maintenance and support staff.
• Inspect completed work and determine the need for rework or follow-up.
• Provide training on equipment, safety procedures, and maintenance best practices.
• Support employee development and address performance issues, complaints, or concerns in collaboration with Human Resources.

Equipment, Assets & Systems

• Oversee preventive maintenance programs for all facilities, equipment, vehicles, and infrastructure.
• Manage requests, follow-up, and documentation for equipment repairs and inspections.
• Oversee and monitor the Building Management System (BMS).
• Research new equipment, tools, and maintenance techniques; recommend improvements.

Contractors, Vendors & Projects

• Assign work orders to external contractors and vendors in accordance with organizational policies.
• Supervise and inspect contractor work for quality, safety, and compliance.
• Assist with special projects, capital improvements, and cross-departmental operational initiatives.

Budget, Materials & Reporting

• Manage maintenance expenses in accordance with the approved budget.
• Order, receive, and approve materials and supplies.
• Prepare cost analyses, performance metrics, and operational reports as required.
• Maintain accurate timekeeping and labor records.

Communication & Safety

• Communicate with internal departments regarding maintenance needs, scheduling, and project impacts.
• Maintain safety standards and ensure compliance with organizational policies and applicable state and federal regulations.
• Serve as point of contact for after-hours and emergency maintenance calls.

Other Duties

• Perform other duties as assigned to support Facilities and organizational goals.

Supervisory Responsibilities

• Directly supervise maintenance and support staff.
• Provide leadership within Facility Operations and support all aspects of the business
• Participate in hiring, onboarding, training, and performance evaluations.
• Lead team meetings and coordinate daily work activities.

Qualifications
Education & Experience

• Associate degree or 5-7 years of practical experience in facilities, industrial, or equipment maintenance.
• Minimum of 4 years of supervisory and project management experience.
• Experience implementing and managing a CMMS.
• Experience managing contractors and vendors.
• Valid Michigan driver's license.

Knowledge, Skills & Abilities
Required

• Strong leadership, organizational, and problem-solving skills.
• Proven ability to schedule and manage work to optimize staff efficiency.
• Proficiency with CMMS platforms and Microsoft Word and Excel.
• Excellent verbal and written communication skills.
• Ability to manage multiple priorities in a fast-paced environment.
• Be a consistent presence to support staff members by removing obstacles to work completion.

Preferred

• Bachelor's degree or relevant professional certifications (facility management, maintenance, or trades).

Working Conditions
Work is performed both indoors and outdoors, with exposure to varying weather conditions and potentially hazardous environments. The position requires flexibility, including nights, weekends, and on-call availability. Physical Requirements
Ability to perform duties requiring standing, walking, climbing ladders, accessing restricted areas, and lifting up to 50 pounds.
