We are currently seeking a reliable, detail?oriented Receptionist that will also primarily support our Inspection Department.

The Role: Receptionist/Administrative Assistant

The Receptionist/Administrative Assistant is the first point of contact for customers and vendors via phone or in person at our corporate office. This role is fast-paced and requires multi-tasking organizational skills. The ideal candidate is professional, and comfortable working in an environment focused on safety, compliance regulations, and field?service coordination.

Key Responsibilities (What Youll Do)

Receptionist:

  • Greet and assist walk?in customers, vendors, and others in a professional manner
  • Answer and route incoming calls; provide basic information about services such as inspections, alarm testing, sprinkler repairs, and other fire protection needs.
  • Manage incoming/outgoing mail
  • Assist with filing

Administrative Support:

  • Dispatch service appointments and inspections
  • Maintain service calendars and coordinate with field technicians to ensure efficient routing
  • Process work orders, service reports, and inspection documentation
  • Assist with compliance paperwork, including inspection tags, certificates, and customer records
  • Perform data entry, filing, scanning, and general office organization
  • Prepare basic correspondence, quotes, and customer follow?ups
  • Maintain confidentiality and accuracy when handling customer and regulatory documents

Required Qualifications (What Were Looking For)

We are looking for a reliable, motivated individual who meets these essential requirements:

  • Education: High school diploma or equivalent
  • Experience: Experience in fire protection, construction, HVAC, or other service?based industries is a plus
  • Skills:
  • Proficiency in Microsoft Office (Excel, Word) and experience with service?management software is helpful
  • Strong communication and customer?service skills
  • Ability to multitask, prioritize, and stay organized in a fast?paced environment
  • Professional appearance, strong attention to detail, and dependable work habits
