Executive Assistant (Milpitas, CA)

LHH is teaming up with a technology organization in Milpitas, CA in search of 2 Executive Assistants.

These are high-visibility roles supporting executive leadership in a fast-paced, corporate environment. The Executive Assistants will play a key role in ensuring daily operations run smoothly, partnering closely with leadership and cross-functional teams. Both positions sit onsite alongside a collaborative executive admin team and require strong coordination across internal and external stakeholders. These roles offer the opportunity to contribute at a high level while supporting critical business priorities.

The ideal candidate is proactive, highly organized, and comfortable working in a high-expectation environment. This individual takes initiative, anticipates needs, and handles competing priorities with strong judgment and discretion. A successful candidate will demonstrate excellent communication skills, attention to detail, and the ability to operate independently while remaining collaborative. Candidates must bring prior experience supporting senior leadership within a structured, corporate setting.

Key Responsibilities:

  • Manage complex executive calendars with competing priorities and frequent changes
  • Coordinate meetings across C-suite leaders, senior stakeholders, and global teams
  • Prepare meeting materials, agendas, and ensure readiness for all scheduled events
  • Plan and coordinate internal meetings, leadership offsites, and executive events
  • Manage domestic and international travel, including itineraries and real-time adjustments
  • Serve as a point of contact for communications, handling inquiries with discretion
  • Track action items, follow-ups, and support executive workflows
  • Prepare presentations, documents, and executive-level communications
  • Process expenses, purchase requests, and support operational needs
  • Collaborate across teams and provide backup support within the executive admin group

Qualifications:

  • 5+ years of experience supporting C-suite executives in a public company required
  • Proven experience managing complex calendars and international travel required
  • Advanced proficiency in Microsoft Office Suite, including Outlook, Excel, Word, and PowerPoint required
  • Strong business judgment and ability to handle confidential information with discrection required
  • Excellent organizational, prioritization, and problem-solving skills required
  • Strong written and verbal communication skills required
  • Bachelor’s degree strongly preferred

Job Type: Contract to hire

Start Date: ASAP

Location: Fully onsite in Milpitas, CA

Hours: Monday through Friday, standard business hours

Pay Rate: $50 - $70/hour, depending on experience

Benefit offerings include medical, dental, vision, life insurance, short-term disability, additional voluntary benefits, EAP program, commuter benefits, and 401K plan. Our program provides employees the flexibility to choose the type of coverage that meets their individual needs. Available paid leave may include Paid Sick Leave, where required by law; any other paid leave required by Federal, State, or local law; and Holiday pay upon meeting eligibility criteria.
