Program Manager

General Function Provide supervision and coordination of residential, day, and personal assistance supports for persons served. Act as liaison between Direct Support Professionals and administration for daily operation of assigned areas, ensuring that service needs are met, staffing ratios are correct, staff are properly trained, documentation is accurate, and all responsibilities comply with state and licensure requirements. Essential Functions In order to perform this job successfully, an individual must be able to perform each essential function satisfactorily. Record Supervision Meet with representatives from each home weekly to review shift documentation for completion, accuracy, and appropriateness. Develop and adhere to a schedule to ensure the process is efficient. Provide initial and ongoing training to Direct Support Staff on documentation requirements and strategies for planning appropriate community‑based activities. Maintain an effective system for tracking receipt of shift notes. Provide accurate CB Day billing information to the Finance Department monthly. Home Supervision Assist with supervision, evaluations, disciplinary actions, and hiring of Direct Support Professionals with input and approval of the Assistant Program Director and/or Regional Director. Attend planning meetings and participate in development of person(s) served plans of care (ISP or PCSP) and activity calendars. Schedule and hold regular staff meetings and training, including orientation of new staff and job shadowing. Ensure all records (hard copy and electronic) are current, conform to all regulations, and meet funding source expectations. Coordinate medical appointments, staff coverage, and documentation of follow‑up appointments. Ensure incidents are reported promptly and assist with internal and external investigations. Maintain records and security for personal and company funds; maintain an inventory of possessions. Manage expenditures within the approved budget and maintain all household resources, including food, supplies, and vehicle. Conduct monthly fire and emergency drills and disseminate activity calendars. Program Supervision Ensure training specific to the needs of the individual is completed before staff work with any person served. Coordinate behavior or therapy training and ensure prompt implementation of service plans, authorizations, and therapy plans. Complete and document supervision visits, including unannounced visits in each home and during community services. Provide recommendations on hiring, termination, and schedule review to minimize overtime. Respond to all calls within 30 minutes from staff/management regarding staffing, aggression, or emergencies. Assist Direct Support Professionals in managing incidents and emergencies; follow up on incident reporting. Review and approve staff schedules, timecards, activity calendars, and shift notes. Assist with transitions and admissions to all programs; encourage high productivity and commitment. Engage with persons served, families, and stakeholders to encourage satisfaction. Track all medical and therapy appointments and provide documentation to external entities. Maintain accurate electronic and hard‑copy records, upload consults, and enter annual and amendment data. Respond to S‑Comms within 24 hours (next business day). Other Functions Demonstrate behaviors and best practices consistent with SSMS values. Practice safe work habits, attend all safety training, and maintain a safe work environment. Support SSMS Quality Management principles of Plan, Measure, Assess, and Improve. Operate SSMS and personal transportation safely. Perform other job‑related duties as assigned. Qualifications – Minimum Requirements High school diploma or equivalent; college attendance is a plus. Minimum of three (3) years of supervisory or management experience providing supports for people with intellectual disabilities. Excellent communication skills, self‑directed responsibility, and desire to mentor team members. Proficient computer knowledge. Valid driver’s license with acceptable driving record. Meet state and local requirements regarding background checks and certifications. Maintain all training requirements current. Knowledge, Skills & Abilities Effective verbal and written communication skills. Strong organizational skills, able to complete heavy workloads within established time frames. Effective interpersonal skills; able to establish and maintain cooperative working relationships. Practice confidentiality in all matters pertaining to clients and employees. Time management in office and field with ability to adjust priorities quickly. Perform a variety of duties with changing technology, environmental factors, and physical demands. Knowledge of community resources. Professional appearance; follow instructions and work independently. Proficient knowledge of computer software and office machines. Understand protocols when working with individuals with developmental disabilities. Thorough knowledge of rules, regulations, policies, and procedures. Strong leadership, decision‑making, and emergency response skills. Medical Requirements Provide any medical records required to comply with regulations and company procedures, such as TB skin tests, HEPB and flu vaccinations. Physical Requirements Regular standing and walking; occasional stooping, kneeling, crouching, and reaching. Drive and travel to transport supported persons to appointments and outings. Perform heavy lifting over 50lbs. when assisting with transfers. Use all five senses effectively for operational duties. Licenses / Certificates Valid state‑issued driver licence. Valid automobile insurance, if required. Maintain certifications such as CPR, First Aid, crisis management, and medication certification.
