About the Role:

The Eviction Clerk plays a critical role in supporting the legal and administrative processes related to eviction proceedings within the judicial system following the foreclosure of residential and commercial properties. This position is responsible for accurately managing and processing eviction cases from inception to final disposition to include but not limited to, drafting eviction notices and court pleadings, reviewing Notices from Courts and Sheriff's Departments and calendaring necessary hearing and eviction dates, ensuring compliance with local, state, and federal regulations and effectively communicating with clients, court personnel and opposing parties.  By maintaining meticulous records and managing case files, the clerk helps uphold the integrity and efficiency of eviction proceedings. Ultimately, this role contributes to the fair and orderly resolution of housing disputes, balancing legal requirements with the needs of all parties involved.

Minimum Qualifications:

• High school diploma or equivalent.
• Experience in a clerical or administrative role, preferably within a legal or court environment.
• Basic knowledge of legal terminology and court procedures related to eviction or housing law.
• Proficiency with standard office software such as word processing, spreadsheets, and case management systems.
• Strong organizational skills and attention to detail.

Preferred Qualifications:

• Associate degree or higher in paralegal studies, criminal justice, or a related field.
• Experience working specifically with eviction cases or housing court.
• Familiarity with local and state eviction laws and regulations.
• Excellent interpersonal and communication skills to effectively interact with diverse populations.
• Ability to manage multiple tasks and deadlines in a fast-paced environment.

Responsibilities:

• Manage each eviction file from initial referral through final disposition and file closure, ensuring all deadlines, court requirements, and client communications are handled timely and efficiently.
• Assume full ownership of assigned eviction matters.
• Maintain and update case files in compliance with established procedures.
• Serve as the primary point of contact for assigned eviction matters by communicating with clients, court personnel and opposing parties by phone, email and web-based systems. 
• Schedule court hearings and notify involved parties of dates, times, and required documentation.
• Assist in preparing eviction notices, court pleadings and other official correspondence as required by law.
• Ensure adherence to all applicable laws, regulations, and court policies throughout the eviction process.
• Ability to provide general information to parties regarding eviction procedures while maintaining confidentiality and professionalism.
• Support attorneys by  tracking case progress to facilitate efficient case management.

Effective communication skills are essential for interacting with clients, occupants, attorneys, and court personnel, providing clear information and facilitating smooth case progression. Attention to detail is critical when reviewing legal documents and scheduling hearings to prevent errors that could delay proceedings. Proficiency with office software and case management systems enables efficient data entry, record keeping, and report generation. Additionally, knowledge of legal terminology and eviction laws supports compliance and helps the clerk provide accurate guidance within the scope of their role.
