Senior Accounting Clerk

Job Description

Fuel Drop Distributors Inc. is seeking a detail-oriented and dependable Senior Accounting Clerk to support the day-to-day accounting operations of our growing fuel distribution business. This position works directly with the VP of Accounting and supports accounts payable, accounts receivable, reconciliations, inventory accounting, vendor transactions, and customer billing.

The ideal candidate has strong accounting experience, excellent attention to detail, and experience working in fuel distribution, petroleum, transportation, trucking, wholesale distribution, or a similar fast-paced industry.

Key Responsibilities

• Process and review vendor invoices in QuickBooks Enterprise
• Manage accounts payable and assist with accounts receivable and customer billing
• Match invoices with purchase orders, BOLs, receiving documents, and supporting records
• Verify pricing, quantities, freight charges, taxes, credits, and other transaction details
• Apply customer payments and research billing or payment discrepancies
• Reconcile vendor statements, bank accounts, and company credit cards
• Review fuel supplier invoices and verify gallons, product, pricing, freight, taxes, and fees
• Assist with inventory accounting, purchase orders, and inventory reconciliations
• Maintain accurate vendor, customer, and accounting documentation
• Communicate with vendors, customers, Sales, Dispatch, Warehouse, Billing, and Management to resolve discrepancies
• Assist the VP of Accounting with month-end activities, accounting schedules, and special projects

Qualifications

• Previous experience in bookkeeping, accounting, AP, or AR
• Experience in fuel distribution, petroleum, transportation, trucking, wholesale distribution, or a similar industry
• Experience with QuickBooks Enterprise
• Experience with invoice processing, payments, credits, and account reconciliations
• Experience working with purchase orders, BOLs, receiving documents, freight invoices, and inventory accounting
• Familiarity with fuel-related transactions and taxes is strongly preferred
• Proficiency with Microsoft Excel and Outlook
• Strong attention to detail, organization, numerical accuracy, and problem-solving skills
• Ability to manage multiple priorities and work independently after training
